What is a contracting assistant?

Contracting Assistants are administrative professionals who support procurement and contracting activities within an organization. They help prepare, review, and process contracts, ensuring compliance with company policies and relevant laws. Their duties often include maintaining contract files, tracking deadlines, communicating with vendors or clients, and assisting with bid and proposal documentation. Contracting Assistants play a vital role in helping contracts move smoothly through each stage of the procurement process.

What are some common challenges contracting assistants face when managing multiple contracts simultaneously?

Contracting Assistants often juggle several contracts at once, which requires strong organizational and time-management skills. Common challenges include tracking deadlines for deliverables, ensuring compliance with varying contract terms, and staying updated on changes in regulations or company policies. To succeed, it's important to use effective tracking tools, communicate regularly with team members and vendors, and proactively identify potential issues before they escalate. Collaboration with legal, procurement, and finance teams is also crucial for resolving discrepancies and ensuring smooth contract execution.

Job description

Business Development & Preconstruction Coordinator

PACE Contracting | Oklahoma City Metro

Full-Time | $60,000–$75,000+ DOE

PACE Contracting is seeking a highly organized, self-directed professional to join our team as a Business Development & Preconstruction Coordinator.

This is not a traditional office administrator position.

We’re looking for someone who can take ownership of the administrative side of our business development, proposals, qualifications, bidding, and preconstruction processes—keeping opportunities organized and moving forward from initial discovery through final submission.

What You’ll Do

* Manage and track business development opportunities and pursuits

* Research projects, owners, developers, public agencies, and decision-makers

* Monitor bid boards, procurement portals, and other opportunity sources

* Review RFQs/RFPs and identify requirements, deadlines, qualifications, and potential disqualifiers

* Prepare Statements of Qualifications, proposals, and submission packages

* Maintain company project sheets, resumes, references, licenses, certifications, insurance, bonding information, and other qualifications

* Manage state, federal, municipal, tribal, and vendor registrations

* Organize bid documents, plans, specifications, addenda, and project files

* Coordinate subcontractor bid invitations and follow-up

* Track pre-bid meetings, site visits, deadlines, and required submissions

* Maintain our CRM and business-development pipeline

* Assist with correspondence, scheduling, research, and follow-up

* Help implement AI and technology into our business-development and preconstruction workflows

* Make sure opportunities, requirements, and deadlines don’t fall through the cracks

Who We’re Looking For

The ideal candidate has 3–7+ years of experience with a:

* Commercial general contractor or construction manager

* Architecture or engineering firm

* Owner’s representative

* Commercial developer

* Construction-related professional services firm

Experience preparing RFQs, RFPs, Statements of Qualifications, construction proposals, prequalification packages, or commercial construction bids is highly preferred.

Experience with Bluebeam, Procore, BuildingConnected, CRM systems, Microsoft Office, Adobe Acrobat, construction drawings/specifications, and public procurement systems is a plus.

The Person We Want

We’re looking for someone who is:

* Exceptionally organized and detail-oriented

* Self-directed and accountable

* Persistent about follow-through

* Comfortable managing multiple deadlines

* A strong written communicator

* Comfortable researching unfamiliar projects and organizations

* Able to recognize missing information and go find it

* Comfortable communicating with owners, subcontractors, consultants, and public agencies

* Technology-oriented and interested in learning AI-assisted workflows

* Able to identify what needs to happen next without waiting to be told

We value initiative, ownership, organization, and follow-through more than knowing every construction term on day one.

Compensation

$60,000–$75,000+ depending on experience.

Exceptional candidates with significant construction proposal, preconstruction, or business-development experience may warrant compensation above the stated range.

If you have construction-industry experience and enjoy turning complicated information into organized, actionable processes, we’d like to hear from you.
