Job description

AMAX is seeking a detail-oriented Contract Administrator to manage the full lifecycle of commercial, customer, supplier, and vendor contracts. This role will partner closely with Sales, Procurement, Finance, Operations, and Legal to ensure contracts are accurately drafted, reviewed, executed, and maintained while minimizing business risk and ensuring compliance with company policies.

The ideal candidate has experience supporting contract administration within a manufacturing, technology, or hardware environment and is highly organized with exceptional attention to detail.

Essential Responsibilities
  • Administer the full contract lifecycle, including drafting, reviewing, negotiating, executing, renewing, and archiving contracts.
  • Prepare and manage customer agreements, supplier contracts, NDAs, purchase agreements, statements of work (SOWs), master service agreements (MSAs), amendments, and change orders.
  • Coordinate contract review and approval workflows with internal stakeholders, including Sales, Procurement, Finance, Operations, and Legal.
  • Ensure contracts comply with company policies, legal requirements, and corporate risk management standards.
  • Track contract milestones, renewal dates, pricing changes, deliverables, and key obligations to ensure timely action.
  • Maintain an organized electronic contract repository and ensure documentation is accurate and complete.
  • Review contract terms to identify commercial, financial, and operational risks and escalate issues when appropriate.
  • Support supplier onboarding and customer onboarding by ensuring required contractual documentation is complete.
  • Assist with RFQs, RFPs, and bid documentation as needed.
  • Monitor insurance certificates, compliance documentation, and other contractual requirements.
  • Generate reports and contract metrics for leadership, including contract status, renewal pipeline, and outstanding approvals.
  • Collaborate with cross-functional teams to improve contract management processes and documentation standards.
  • Support internal and external audits by providing requested contract documentation.
  • Perform other related duties as assigned.

Requirements

  • Bachelor's degree in Business Administration, Finance, Supply Chain, Legal Studies, or a related field.
  • 3+ years of contract administration, contract management or legal operations experience.
  • Experience supporting commercial contracts within manufacturing, hardware, technology, electronics, or similar industries preferred.
  • Strong understanding of contract terminology, commercial agreements, and contract lifecycle management.
  • Excellent organizational skills with exceptional attention to detail.
  • Strong analytical and problem-solving abilities.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office, particularly Excel and Word.
  • Experience using ERP systems (SAP, Oracle, NetSuite, or similar) and contract lifecycle management (CLM) software is preferred.
Preferred Qualifications
  • Experience supporting OEM, server, hardware, AI infrastructure, or electronics manufacturing organizations.
  • Familiarity with supplier agreements, customer sales contracts, and government or enterprise procurement processes.
  • Experience working with domestic and international suppliers and customers.
