Join Our Team as a Senior Project Administrator and Advance Your Career with Webber
Are you an experienced project administrator ready to take the next step in your career? Webber, a leader in infrastructure and heavy civil construction, is seeking a skilled Senior Project Administrator to support complex projects and provide high-level administrative, payroll, and financial coordination.
Your Role: Leading administrative excellence across project operations
The Senior Project Administrator is responsible for providing advanced administrative, payroll, financial, and operational support to the project team, while ensuring compliance with company, client, and regulatory requirements. This role may oversee administrative staff and support multiple project locations.
What You Will Do:
  • Utilize MS Word, MS Excel, PowerPoint, Outlook, and other systems (including SAP where applicable) to prepare reports, correspondence, and project documentation
  • Coordinate and manage the new hire process, including onboarding, orientation, payroll setup, benefits enrollment, and employee record maintenance
  • Prepare and submit timely and accurate payroll, overtime, SAP, and client-required reports
  • Enter payroll hours and work activities and generate labor and activity reports
  • Maintain confidential employee files, training records, licenses, vendor insurance certifications, and project documentation
  • Administer accounts payable and receivable activities, including invoice verification, reconciliation, and distribution
  • Coordinate purchasing of office and safety supplies, rental equipment, vendor contracts, third-party claims, and client deliverables
  • Assist with administration of the fleet management system, including data entry and invoice review
  • Schedule and coordinate meetings, training sessions, conferences, and travel arrangements
  • Answer and manage project phones or hotlines; track and respond to inquiries in accordance with contract requirements
  • Dispatch employees to accidents, repairs, or other client or public concerns as needed
  • Provide oversight to administrative staff and/or support multiple project sites
  • Maintain an organized and efficient work environment while managing multiple priorities
  • Write professional reports, business correspondence, and project communications

Who You Are: A Profile of Senior-Level Success
  • High school diploma or general education degree (GED) required
  • Minimum 3-5 years of experience in project or office administration (construction or infrastructure preferred)
  • Excellent computer skills with strong proficiency in MS Word, MS Excel, PowerPoint, and Outlook
  • SAP experience strongly preferred
  • Strong organizational, administrative, interpersonal, verbal, and written communication skills
  • High attention to detail with strong problem-solving and analytical abilities
  • Ability to work independently with minimal supervision and adapt to changing priorities
  • Ability to multitask in a fast-paced environment
  • Valid driver's license for occasional, required travel
  • Ability to perform basic mathematical calculations, compute rates and percentages, and interpret reports and graphs
