Job description

Job Title: Assistant Property Manager
Job Description
The Assistant Property Manager oversees and supports the smooth daily operation of residential and commercial properties. This role focuses on maintaining property value, managing budgets and financial performance, and ensuring tenant satisfaction through efficient rent collection, lease administration, and building maintenance. The ideal candidate understands the real estate market, is proficient in property management practices, and demonstrates strong attention to detail and organizational skills.
Responsibilities
  • Manage and oversee the operations, maintenance, administration, and improvement of residential and commercial properties.
  • Plan and manage property budgets, including forecasting requirements, preparing annual budgets, scheduling expenditures, and analyzing variances.
  • Collect rent in a timely manner, process payments, and ensure all property-related bills are paid accurately and on schedule.
  • Investigate and resolve tenant complaints, enforce rules of occupancy, and maintain a high standard of tenant relations.
  • Inspect vacant units regularly, coordinate and complete necessary repairs, and ensure units are ready for occupancy.
  • Secure properties by coordinating with security patrol services, arranging installation and maintenance of security devices, and enforcing precautionary policies and procedures.
  • Respond promptly and effectively to property-related emergencies and incidents.
  • Facilitate leasing activities, including marketing available space, preparing lease agreements, and negotiating lease terms in line with company guidelines.
  • Administer leases by maintaining accurate records, tracking key dates, and ensuring compliance with lease terms.
  • Comply with federal, state, and local legal requirements related to property management by enforcing adherence to regulations and advising management on required actions.
  • Maintain building systems by contracting with maintenance service providers, supervising repairs, and ensuring work meets quality and safety standards.
  • Support the annual budgeting process, including common area maintenance (CAM) reconciliations and related financial reviews.
  • Perform financial analysis and reporting, including month-end closing, account reconciliations, and preparation of financial statements or reports.
  • Manage vendor contracts, including coordination of services, review of invoices, and ensuring contract terms are met.
  • Utilize property management and accounting software to maintain accurate ledgers, records, and financial data.
  • Provide administrative support for property operations, including documentation, reporting, and communication with tenants, vendors, and internal stakeholders.
  • Contribute to achieving financial objectives by monitoring performance, identifying variances, and initiating corrective actions where needed.

Essential Skills
  • 0-2 years of experience in real estate property management or similar roles.
  • Strong understanding of the real estate market and property management practices.
  • Proficiency in financial analysis, including budgeting, forecasting, and variance analysis.
  • Knowledge of property tax concepts and their impact on property operations.
  • Experience with month-end closing processes and account reconciliation.
  • Ability to prepare and interpret financial reports and work with ledgers and accounting software.
  • Asset management skills with a focus on preserving and enhancing property value.

  • Experience with CAM reconciliations and annual budgeting processes.
  • Advanced proficiency in Microsoft Office, particularly Excel (including pivot tables), as well as Word, PowerPoint, and Outlook.
  • Proficiency in Excel is required.
  • Accounts payable experience, including invoice processing and payment coordination.
  • Familiarity with property management software such as Yardi.
  • Strong administrative support skills, including documentation, reporting, and communication.
  • Bachelor's degree in business administration, real estate, or a related field is preferred.

Additional Skills & Qualifications
  • Proficiency in MRI Property Management Software is a plus.
  • Experience managing commercial property operations is advantageous.
  • Prior exposure to vendor contract management and coordination is beneficial.

Pay and Benefits
The pay range for this position is $35.00 - $37.00/hr.
