Job description

Title: Project Administration Coordinator


Reports to: Project Executive and Senior Risk Manager


Summary of Position: We are seeking a proactive, organized Project Administration Coordinator, with Spanish language skills highly preferred, to support our team on public works projects. This multifaceted role includes project coordination, labor compliance, field hiring and onboarding, especially for Spanish-speaking workers, as well as general office and team support. The ideal candidate is collaborative, communicative, and comfortable working in a fast-paced, field-integrated environment.


Typical Duties:


Project Coordination

· Provide comprehensive administrative and operational support to project teams, including preparing bid packages and RFPs, creating and tracking subcontracts, purchase orders, and change orders; processing billings and assisting with project setup and closeout activities

· Manage the preparation and coordination of bid packages and RFPs, including document compilation, distribution, and tracking of responses

· Administer and track subcontracts, purchase orders, and change orders, ensuring timely execution, accurate documentation, and alignment with contract requirements

· Coordinate and review project billings, supporting project managers with financial tracking, forecasting documentation, and reporting

· Support project setup and closeout processes, ensuring all contractual, financial, and compliance documentation is complete and properly archived


Labor Compliance

· Collect and review certified payroll, skilled and trained workforce reports to ensure compliance with state and/or federal requirements (prevailing wage, apprenticeship, and other public works and special requirements). Training will be provided on skilled and trained workforce tracking

· Maintain accurate compliance records, including licensing, and assist with audits as necessary

· Act as a point of contact, in coordination with the Risk Manager, to address compliance inquiries from field staff and subcontractors


Field Hiring and Onboarding

· Support field onboarding efforts, including proactive outreach and coordination of required documentation for field employees, with a focus on assisting Spanish-speaking team members

· Facilitate the processing of new hire documentation, orientation materials, and safety compliance paperwork to ensure timely and accurate onboarding

· Communicate workplace policies, safety requirements, and procedural expectations clearly and professionally in English, and when applicable, in Spanish, to support workforce understanding and compliance

· Experience working with Labor Unions preferred


Office and Team Support

· Provide general administrative support to project and office teams (e.g., preparing correspondence, maintaining files, scheduling meetings)

· Coordinate team events, trainings and workshops

· Perform other miscellaneous duties to support the successful execution of projects and overall team efficiency

· This position involves working between the main office in Orange, CA and field offices to support project execution and team coordination. Time in the field is key to staying connected with jobsite operations and support-ing field staff directly


Skills/Qualifications:

· Prior experience in construction project coordination, labor compliance, labor unions, or field support, preferably on public works or affordable housing projects

· Familiarity with public works labor standards preferred (prevailing wage, apprenticeship, skilled and trained workforce)

· Bilingual (English/Spanish) strongly preferred; (verbal and written)

· Proficient in Microsoft Office Suite (Word, Excel, Outlook) and project management/document control systems

· Excellent organizational skills and attention to detail

· Strong interpersonal and communication skills; comfortable interacting with diverse teams and field crews

· Ability to manage multiple tasks and adapt in a fast-paced environment

· Positive, proactive approach and willingness to help wherever needed

· Commitment to promoting a safe, compliant and inclusive work environ-ment

· Strong problem-solving skills and ability to work independently and col-laboratively


Position Status: Full-time, regular business hours, non-exempt


Location: Greater Los Angeles and Orange County region
