Job description

Document Specialist

Responsible for managing end-to-end ocean export shipments, including preparation of export documentation, coordination with carriers and trucking companies, and ensuring full compliance with international shipping regulations.

Key duties include organizing and processing shipping documents, tracking shipments, and providing timely customer support while maintaining accuracy and adherence to company and regulatory guidelines. This role requires strong attention to detail, the ability to prioritize multiple shipments, and effective communication in a fast-paced logistics environment.

Key Responsibilities:

  • Coordinate and manage ocean export shipments from booking through final delivery
  • Prepare, review, and process export documentation, including Bills of Lading, commercial invoices, packing lists, and AES filings
  • Ensure compliance with U.S. export regulations and international shipping requirements
  • Communicate effectively with ocean carriers, trucking companies, warehouses, and overseas agents
  • Monitor and track shipments, providing proactive updates to customers regarding status, delays, or issues
  • Arrange pickups, deliveries, and container loading to ensure timely movement of cargo
  • Maintain accurate records and documentation in internal systems
  • Perform additional duties as assigned

Required Skills & Qualifications:

  • Excellent problem-solving and decision-making abilities

Starting pay can range between: $18 - $20 hourly

After 1 year of working in the company, we offer accumulated vacation hours, maximum of 80 hours and accumulated sick hours, maximum of 24 hours.

Working hours are the following: Monday thru Friday 8am - 4:30pm with 30 min of lunch (A lunch time will be assigned).
