POSITION: Legal Secretary

POSITION SUMMARY
The Legal Secretary will provide comprehensive administrative and legal support to the in-house Legal Department of Heelstone Energy, a renewable energy company focused on the development and operation of utility-scale solar and storage projects. This role supports the Chief Legal Officer and legal staff with document management, contract administration, regulatory filings, notarization of documents, and overall legal operations. The Legal Secretary plays a critical role in ensuring the smooth and efficient functioning of the legal department while maintaining the highest standards of confidentiality and professionalism. This is a full-time, non-exempt position located in Durham, NC.
RESPONSIBILITIES
  • Draft, proofread, format, and finalize legal documents, contracts, correspondence, and presentations under the direction of attorneys.
  • Manage and maintain legal file, both electronic and physical, ensuring accuracy, organization, and accessibility.
  • Coordinate contract execution workflows, including circulating documents for signature, tracking execution status, and filing fully executed agreements.
  • Notarize documents as a commissioned Notary Public, including deeds, affidavits, loan documents, and corporate instruments.
  • Assist with regulatory filings, permit applications, and compliance documentation related to renewable energy projects.
  • Maintain and update the department's contract management database; track key deadlines, renewals, and project milestones.
  • Conduct basic legal research and compile information to support attorneys as directed.
  • Liaise with external counsel, government agencies, title companies, lenders, and other third parties on legal matters.
  • Schedule and coordinate legal team meetings, calls, closings, and depositions; manage calendars for legal staff.
  • Assist with due diligence activities for project acquisitions, tax equity financings, and permitting.
  • Handle incoming and outgoing legal correspondence; route time-sensitive communications appropriately.
  • Perform general administrative duties including expense reporting, travel coordination, and supply management for the legal department.

SKILLS AND PERSONAL QUALITIES
  • Active Notary Public commission or willing to become one.
  • Exceptional attention to detail and organizational skills with the ability to manage high volumes of documents.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced, project-driven environment.
  • High degree of professionalism and ability to maintain strict confidentiality.

  • Familiarity with renewable energy project development lifecycle and related legal documentation.

EDUCATION/PROFESSIONAL EXPERIENCE
  • High school diploma required; Associate's or Bachelor's degree preferred.
  • Minimum 3 years of experience as a legal secretary or legal administrative assistant, preferably in a corporate or in-house setting.
  • Active Notary Public commission required (or ability to obtain within 90 days of hire - company will cover fees).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) required.
  • Experience with contract management or document management systems preferred.
  • Familiarity with renewable energy project development, real estate transactions, or energy regulatory matters a plus.
  • Experience with e-signature platforms such as Adobe Sign preferred.
