GENERAL STATEMENT OF DUTIES
Under the general supervision of the Purchasing Director, this is specialized administrative work at a professional level responsible for assisting in monitoring the performance of City contracts and ensuring compliance with contractual terms and conditions, as needed.
The Contract Compliance Administrator performs professional work in administering and monitoring the City's contracts and agreements, which requires interpreting documents with respect evaluating compliance. Work requires a knowledge of techniques, methods, and procedures used to interpret contract specifications and agreements. An employee in this classification would be a detail-oriented, operations professional with experience in contracts compliance and public administration.
Essential Job Functions
  • Maintain and update the City's digital contract archive (Laserfiche) with the goal of ensuring a current and accurate contract database, while also ensuring compliance with document retention guidelines.
  • Coordinate with all City user departments to assist in the administration and compliance of contract terms and conditions, beginning from contract execution through contract renewal, expiration or termination.
  • Coordinate with all applicable departments to ensure compliance with all requisite contract requirements and documentation (e.g., insurance, bonds, vendor licenses, etc.). Also performs periodic contract reviews to ensure ongoing compliance with all contract requirements.
  • Coordinates with all user departments to ensure compliance with contract compliance procedures, such as submitting to the Contract Compliance Manager periodic vendor performance evaluations forms, timely requests for contract renewals, etc.
  • Assists user departments with the review, analysis, and resolution of contract-related issues, such as request for change orders, vendor non-performance, default, breach of contract, etc.
  • Conducts periodic reviews, recommends changes, if needed, and administers policies, procedures and regulations for contract administration activities.
  • Prepare and provide period reports to supervisor(s) and senior management regarding contract updates and pending issues (e.g., new contracts, renewals, expiration, contract disputes, change orders, termination, etc.).
  • Performs other duties as assigned by Director.

Minimum Requirements
Associate's or Bachelor's Degree in Business Administration, Public Administration or a closely related field is preferred and a minimum of five (5) years of full-time, progressively responsible experience in the field of public administration, contract compliance and/or coordination of public agency initiatives.
A valid Florida Driver's License
