What is a contract executive assistant?

A Contract Executive Assistant is a temporary or project-based professional who provides high-level administrative support to executives. Their responsibilities typically include managing schedules, coordinating meetings, handling communications, and assisting with special projects. Unlike full-time employees, they work on a contract basis, which can range from short-term assignments to long-term engagements. This role requires strong organizational skills, discretion, and the ability to adapt quickly to different work environments.

What are the typical daily responsibilities of a contract executive assistant?

As a Contract Executive Assistant, you can expect your daily responsibilities to include managing executives’ calendars, scheduling meetings, coordinating travel arrangements, and preparing reports or presentations. You may also be asked to handle confidential communications, track expenses, and assist with project coordination across multiple teams. Since this is a contract role, you’ll often need to quickly adapt to new environments and prioritize tasks efficiently. The role frequently involves collaborating with other departments and external partners, providing critical support to ensure organizational leaders can focus on strategic decision-making.

What are the key skills and qualifications needed to thrive as a contract executive assistant?

To excel as a Contract Executive Assistant, you need strong organizational abilities, advanced proficiency in calendar management, correspondence, and a background in executive support—often supported by experience or a relevant certification. Familiarity with tools like Microsoft Office Suite, Google Workspace, and virtual meeting platforms is typically expected, along with knowledge of expense management or project tracking software. Excellent communication, discretion, problem-solving, and adaptability are crucial soft skills that help you thrive in diverse, fast-paced environments. These competencies are critical for efficiently supporting executives, managing confidential information, and ensuring operations run smoothly within a contractual timeframe.

GTI is seeking an experienced, highly professional Executive Assistant to provide dedicated support to the Chief Operating Officer while also managing day-to-day office administration for the Executive Leadership Team & offices.

This is an elevated executive support role: the Executive Assistant manages the executive office’s administrative operations independently, handling a wide variety of situations, contacts, and requests with sound judgment and strict discretion (including communication with senior internal and external contacts) while keeping the COO and ELT focused on and available for the highest priorities.

  • Coordinate domestic and international travel for ELT, including flights, lodging, ground transportation, and detailed itineraries; prepare and submit expense reports

  • Plan and execute logistics for executive and leadership meetings: agendas, materials, room setup, catering, and technology

  • Track commitments and action items from executive meetings and coordinate follow-through with the appropriate team members

  • Coordinates collection and preparation of operating reports, such as budget expenditures, and statistical records of performance data

  • Screen, prioritize, and route incoming requests, correspondence, and inquiries, using judgment on what requires the executive’s attention and what can be handled directly or redirected

  • Interact with high-level internal and external contacts with professionalism, tact, and discretion

  • In the executive’s absence, ensure requests for action or information are relayed promptly to the appropriate staff member

  • Prepare, format, and proof correspondence, reports, and presentations for executive review

  • Handle sensitive business and personnel information with strict confidentiality at all times

Required Qualifications
  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred

  • 5+ years of executive assistant experience, including direct support of C-suite or senior executives

  • Advanced calendar management skills in Microsoft Outlook; strong proficiency across Microsoft Office (Word, Excel, PowerPoint, Teams)

  • Demonstrated experience coordinating complex travel and managing expense reporting

  • Exceptional judgment, discretion, and ability to maintain confidentiality on executive-level matters

  • Strong written and verbal communication skills, with the polish to interact credibly with senior leaders and external partners

  • Proven ability to anticipate needs, manage conflicting priorities, and work independently in a fast-paced environment

  • High attention to detail, organization, and professionalism

 Preferred Qualifications
