Executive Assistant (Office Operations)

Location: Dublin, OH


At Hi-Way Paving, we are general contractors in the construction field that specialize in significant amounts of concrete paving, storm drainage, and excavation on highways and airfields.


We are seeking an Executive Assistant (Office Operations) to support our Dublin office and provide direct administrative support to three executives — our Chief People Officer (CPO), Chief Financial Officer (CFO), and Chief Estimator.


This is a highly visible, hands-on role that blends executive support, office management, and internal coordination. The right person will be a strong communicator, a natural organizer, and someone who takes pride in creating a welcoming, well-run environment for both employees and visitors.


This role will have a heavier focus on supporting the CPO through calendar management, communication coordination, and helping keep key initiatives moving forward. At the same time, this individual will serve as a central point of coordination for the Dublin office, helping ensure day-to-day operations run smoothly and efficiently.


The person in this role will play an important part in the overall function and atmosphere of the office — helping leadership stay organized, supporting team operations, and contributing to a professional, positive workplace environment.


This position is primarily in-office (80%+), with limited flexibility for remote administrative work. Occasional after-hours support or light travel may be required.

What You'll Do:

Executive Support (50%)

  • Manage calendars, scheduling, and travel for the CPO (primarily) as well as provide support to the CFO and Chief Estimator, as needed.
  • Draft communications, assist with internal messaging, and help coordinate communication plans.
  • Keep priorities organized and help ensure follow-through on key initiatives (light “chief of staff” support).
  • Handle expense reporting and occasional personal assistant tasks (e.g., coordinating executive logistics such as vehicle drop-off/pick-up).

Office Operations & Experience (40%)

  • Serve as the primary point of contact for all Dublin office needs (approx. 12 offices + shared spaces).
  • Coordinate with vendors (cleaning, maintenance, supplies, etc.) and manage facility-related requests.
  • Maintain office organization, including stocking the pantry, managing supplies, and ensuring shared spaces are clean and functional.
  • Support in-office meetings and events (setup, food/beverage coordination, room readiness).
  • Take ownership of the overall office experience, creating a welcoming, professional, and well-run environment.

Coordination & Support (10%)

  • Partner with the Technology Manager to support basic office technology needs (e.g., coordinating equipment, managing shipments, and light troubleshooting coordination)
  • Support CFO team members working regularly in the office with administrative or logistical needs (e.g., mail, shipping, etc.).
  • Assist with light tracking of office-related expenses and budgets.
Requirements:

  • Strong written and verbal communication skills; ability to draft clear, professional communications.
  • Highly organized and detail-oriented with the ability to manage multiple priorities.

  • Comfortable balancing structured executive support with hands-on office tasks.
  • Strong interpersonal skills. A natural host who creates a positive and welcoming environment.
  • Proficiency in Microsoft Outlook (experience with expense tools like Concur, HCM systems like Paylocity, and any other specialty software/apps are a plus but not required).
  • Must be at least 18 years old to meet employment requirements
