Job Title: Contract Specialist
About Us
At West Cancer Center, we are committed to advancing innovative cancer research while delivering exceptional patient care. Our Research team works collaboratively with sponsors, CROs, investigators, and internal teams to support clinical research while maintaining strong financial stewardship, compliance, and operational excellence.
Position Overview
The Contract Specialist is responsible for assisting in negotiating contracts and budgets that compensate the institution for resources required because of clinical research protocols within site parameters. The Contract Specialist works closely with appropriate staff, sponsors, and CROs to ensure that contracts and budgets stay within the institution's guidelines and capture the cost of procedures for each study. The Contract Specialist is responsible for demonstrating professional demeanor and maintaining confidentiality in all interactions with both internal and external contacts. Work is performed under the general direction of the Manager, Research Contracts and Finance.
Key Responsibilities
  • Assist in the contract review process for Sponsor-funded and Investigator-initiated clinical studies, ensuring all contract requirements are addressed per institutional SOPs and guidelines
  • Review contracts with appropriate staff prior to submission of revisions to Sponsor and contact Sponsor with applicable revisions
  • Assist in negotiation of budgets ensuring sufficient compensation for all study-related procedures and institutional costs and review budget revisions with appropriate staff prior to submission to Sponsor
  • Advise staff on ongoing budget issues and contact Sponsor with applicable revisions
  • Assist with administrative duties as needed, including review and facilitation of Confidentiality Agreements (CDAs) and Service Agreements
  • Assist with the preparation of Billing Grids that capture Research and SOC procedures for each study
  • Assist with the preparation of Medical Coverage Analysis for studies
  • Collaborate with Research Finance to resolve billing and payment matters
  • Maintain a professional approach respecting the dignity and confidentiality of associates, managers, and vendors
  • Attend staff meetings as scheduled
  • Perform other job functions as needed

Qualifications
Education & Experience
Required:
  • Associate degree; OR two (2) years of related experience in research; OR equivalent combination of education and experience
  • Experience in clinical research
  • Experience in contract and budget negotiations
  • Exceptional verbal and written communication skills
  • Ability to understand contracts and budgets and negotiate revisions
  • Proficiency in Word, Excel, PowerPoint, and Adobe Acrobat
  • Ability to prioritize multiple projects and coordinate these efforts
  • Ability to maintain confidentiality of information and procedures
  • Ability to work on complex projects involving various research and ancillary entities
  • Ability to read, analyze, and interpret financial reports, government regulations, common scientific and technical journals, and legal documents
  • Excellent organizational and time management skills
  • Ability to add, subtract, multiply, and divide in all units of measure using whole numbers, fractions, and decimals
  • Ability to compute rate, ratio, and percent and to interpret bar graphs
