Job description

Vista Residential Partners is a rapidly growing real estate investment, development, and construction firm focused on multifamily projects across the U.S. Headquartered in Atlanta, we are seeking a Construction Contract Administrator to oversee contract administration across our active construction projects. This role supports the administrative, financial, and compliance functions of our construction platform, working across Sage and Procore to ensure projects are managed consistently and efficiently.


The Construction Contract Administrator will serve as the central point of contract administration for active construction projects, working closely with Project Managers, the accounting team, and outside vendors. This is a hands-on, detail-oriented role for an organized and systems-savvy professional who excels at managing multiple priorities, maintaining accurate documentation, and supporting project teams in a fast-paced, entrepreneurial environment.


Key Responsibilities

  • Set up and maintain new construction projects in Sage and Procore, including project creation and cost code structures
  • Prepare and process monthly owner billing in coordination with the Project Manager and accounting team
  • Distribute project documents, including drawings, specifications, contracts, and schedules of values
  • Review, code, and process vendor invoices for accuracy and completeness
  • Maintain project directories in Procore, including contacts, companies, and assigned roles
  • Prepare and issue subcontracts, purchase orders, and other project commitments
  • Track certificates of insurance for vendors and subcontractors to ensure compliance with contract requirements
  • Enter and reconcile direct costs
  • Collect and track pay application requirements, including subcontractor lien waivers and supporting documentation
  • Process subcontractor billing and pay applications
  • Provide administrative support to Project Managers on contract, billing, and compliance matters
  • Support project closeout, including final lien waivers, warranties, and closeout documentation
  • Serve as primary point of contact for contract administration across active projects, ensuring consistent and timely completion of related tasks

Qualifications

  • Bachelor's degree preferred, or equivalent combination of education and experience
  • 2+ years of experience in construction administration, contract administration, or a similar support role
  • Experience with Procore and Sage, or similar construction management and accounting systems, strongly preferred
  • Working knowledge of construction contract documents, including subcontracts, certificates of insurance, lien waivers, and pay applications
  • Highly organized and analytical, with excellent attention to detail and the ability to manage a high volume of tasks across multiple active projects while working independently and cross-functionally
  • Based in or willing to relocate to Atlanta, GA, with the ability to work in our Buckhead office
