Job description

Valiant is looking for a Contract Suport Assistant (CSA) to join our team! In this role you will handle administrative tasks and transactions for USG acquisition officers located in contracting offices throughout the Northern Virginia area.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Administrative Contract Modifications:
  • Support the execution of non-decisional administrative modifications to existing contracts.
  • Administrative modifications typically include COTR changes, CO changes, incremental funding, funding de-obligations, period of performance extensions, level-of-effort reconciliations, Award Fee releases, and Government Property dispositions.
  • Compiling supporting documentation and correspondence, navigating the Sponsor's contract writing system to create modifications, documenting the action in accordance with the contracting team's procedures and Sponsor's policies, generating the modification package for CO review/action, and obtaining signatures from relevant parties.

Contract File Maintenance:
  • Support contract file maintenance, which may include organizing and maintaining files in multiple formats
  • Printing, tabbing, labeling, and filing. Data Entry, Queries and Reports. (e.g., electronic copies and hardcopies).
  • Perform data entry and data retrieval in/from Sponsor's applications, databases and tools typically including SharePoint, BASIS Acquisitions (Momentum), BASIS Contract Request (BCR) Database, COGNOS Reports, Invoice Payment Platform Search and BASIS Automatic De-obligation Tool (BADACQ) as well as any processes and modules deployed under the Acquisition Lifecycle Management Platform and related tools such as the new Contract Writing System (CWS).
  • Accurately entering contract data into the Sponsor's contract writing system, researching databases to identify outstanding actions, assigning funding obligations to COS, producing reports as required by the contracting team and its customers and drafting responses to internal data calls.

Preparing for Contract Settlement:
  • Verifying completion, performing data entry, queries and reports, collecting other information, executing administrative contract modifications and boxing files for shipment and transporting to the on-site mailroom.
  • Support contract settlement and closeouts by performing the required steps in accordance with the Sponsor's settlement guidance and policies.

Other Administrative Responsibilities
  • Other administrative responsibilities as required by the assigned contracting team.
  • Requesting/updating applicable system accesses for contracting team members.
  • Requesting data transfers between networks.
  • Recording time and attendance for contracting team members.
  • Maintaining the office calendar and ordering office supplies.
  • Other duties as assigned.

CLEARANCE: TS/SCI with polygraph.
EDUCATION AND CERTIFICATION REQUIREMENTS:
  • High school diploma or equivalent. Desired: Bachelor's degree or other advanced degree in Business, Engineering, Technology, Finance, Computer Science or a related subject.
  • Desired: DAWIA Level 1 or higher in Contracting or FAC-C Level 1 or higher certification.

REQUIRED QUALIFICATIONS:
  • 2+ years of experience with Microsoft Word, Excel, Outlook and Power Point; and Adobe Acrobat.
  • 1+ years of administrative support experience to include developing correspondence, providing customer service, scheduling and filing documents.
  • 1+ years' experience in any of the following areas or equivalent fields: contracts, administration, finance and/or program administration.
  • Professional oral and written communication skills in order to convey information clearly and concisely.
  • Strong organizational and time management skills.
  • Basic understanding of the contracts process.
  • Initiative to learn responsibilities
  • Ability to manage tasks and responsibilities independently.
  • Attention to detail in order to minimize clerical errors and mistakes.

DESIRED QUALIFICATIONS:
  • Experience with BASIS Acquisitions and COGNOS reports.
  • One year of work experience with a government (federal, state or local) acquisition contracting process.
  • Experience working with organization(s) in the Intelligence Community.
