Job Summary:

The Program Specialist is responsible for supporting temporary/contingent workforce programs for our clients. The Specialist is responsible for building and maintaining relationships with Hiring Managers and suppliers to support and manage the full lifecycle for the requisition process including requisition intake, shortlisting, Supplier sourcing management, onboarding, worker assignment management, time and expense, offboarding and reporting. The Program Specialist acts as a talent advisor and strategic business partner to support our clients and ensure requisition fulfillment for quality talent in a timely manner. The role offers an excellent opportunity for someone to learn strong leadership skills and grow in their careers


Responsibilities:

  • Managing hiring manager relationships and at times interacting with client’s executive leadership to ensure all contingent labor needs are fulfilled.
  • Managing the staffing and requisition fulfillment process – ensuring that the client’s needs are being met. Including, but not limited to:
  • Assisting client managers during all stages of the contract labor acquisition process including: requisition intake, sourcing, candidate shortlisting and interviewing
  • Document requirement intake conversations in appropriate database (VMS etc.)
  • Discuss with HM agree upon expectations, timeframes, feedback, roles and responsibilities of everyone involved in the requisition fulfilment process
  • Work with and communicate with staffing suppliers to make sure that proper feedback, projections, and critical communications are being relayed in a timely manner.
  • Facilitation of on-boarding and off-boarding of contractors
  • Maintain the VMS (vendor management system) with strong attention to details of staffing, hiring and on boarding process of the contingent workforce. This will include updating the system with rate changes, processing contract extensions, processing releases/terminations and updating other data as necessary.
  • Work to identify new opportunities to expand client relationships by partnering with the delivery teams to provide proactive solutions to current and future challenges.
  • Provide strong professional management of the contingent workforce to include, but not limited to, interviewing, screening, selection/deselection, orientation, supervision, coaching, counseling, and disciplinary actions up to and including releases/terminations based on client guidelines.
  • Coach, manage and oversee performance of participating staffing suppliers
  • Document all client/supplier reported issues and track resolution through to completion ensuring a high level of customer satisfaction
  • Conduct supplier scorecard reviews, including performance discussions, metric adherence and strategic conversations
  • Accurate and on-time completion of reports on a daily, weekly, and monthly basis.
  • Conduct new hire orientation with all prospective candidates per customer guidelines.
  • Conduct regular meetings with the customer managers to ensure effective communication.
  • Monitor and address issues and concerns with the contingent workforce quickly and effectively; escalate issues to management as needed.
  • Assist with development of presentation and customer facing items (QBRs, Operational reviews, Dashboard reviews, other), with support from leader
  • Assist with worker assignment management (cost center changes, extension of contract assignments etc.) to improve data integrity
  • Liaison with managers, vendors and security department to ensure all necessary paperwork is completed and collected prior to starting assignments and at end of assignments
  • Ensure all work orders are closed in the system with accurate finish reasons when notified of an end of assignment and appropriate departments are notified (i.e., security)
  • Assist with the collection of company assets from vendors (laptop, badges, etc.)
  • Work hand in hand with the program management team to ensure metrics, SLAs, and targets are driven with a vision and are being met.
  • Serve as the professional representative of Workspend to the client – solving problems and diligently following up to ensure best in class service to the client.
  • Work with the client to help identify departments, skill set categories, divisions and locations where Workspend’ s services could assist in cost savings, risk aversion and efficiencies.
  • Participate in client meetings to review strategic initiatives and assist with PMO roadmap/initiatives


Mandatory skills:

  • Minimum 2-3 years’ experience supporting clients for their temporary workforce hiring and management either for a temp/contingent staffing MSP or a temp staffing master vendor program.
  • Experience in high volume coordination activities (interviewing, on-boarding, etc.)
  • Experience with MS Office (Excel, Word, PPT) and PC skills
  • Able to work independently with minimal direction required for core daily responsibilities
  • Medium level of direction needed for advanced responsibilities
  • Excellent communication skills including client relationship management
  • Detail oriented with strong analytical skills
  • Should be a quick learner and motivation to continue to grow in your career.
  • Bachelor’s degree, or equivalent business experience preferred.
  • Ability to travel as needed
