The Proposal Coordinator / Technical Writer is responsible for managing proposal content, assembling and submitting proposals, and assisting with technical writing of proposal content, abstracts, and white papers. This role serves as the primary owner of the organization's proposal content library while also coordinating proposal and bid response activities from receipt through submission. Working closely with Sales, Product Management, Marketing, Operations, and subject matter experts, the Proposal Coordinator/Technical Writer ensures proposal content remains accurate, current, and compliant while creating clear, compelling technical and customer-facing documentation.
Job Responsibilities
Proposal Content Management
  • Own and manage the company's proposal content repository, templates, knowledge base, and document management systems, ensuring proposal content is organized, current, and accessible.
  • Collaborate with Product Management, Sales, Marketing, Operations, and subject matter experts to review, validate, and update proposal content, ensuring accuracy with current products, services, certifications, capabilities, and corporate messaging.
  • Develop, maintain, edit, and proofread reusable proposal content, executive summaries, company qualifications, past submittals, and other customer-facing materials.
  • Establish and maintain content governance practices, including content review schedules, version control standards, approval workflows, and archiving procedures.
  • Analyze proposal content utilization and effectiveness, recommending improvements that increase content quality, consistency, compliance, and response efficiency.

Proposal Coordination & Submittals
  • Coordinate proposal response activities with Key Account Managers for RFPs, RFQs, RFIs, and other customer solicitations, ensuring compliance with customer requirements and submission deadlines.
  • Review solicitation requirements, develop response outlines, track deliverables, and coordinate contributions from multiple departments.
  • Work with Contract Administrator to ensure submittals maintain company requirements regarding contract terms and conditions.
  • Manage proposal schedules, milestones, review cycles, and submission checklists to ensure timely completion of quality proposal responses.
  • Compile, format, finalize, and submit proposal packages through customer portals, procurement systems, email submissions, or other required submission methods.

Technical Writing & Documentation
  • Work with Sales, Product Management, Marketing, Operations, and subject matter experts to develop, edit, and maintain study abstracts, white papers, proposal documentation, and other customer facing supporting materials.
  • Translate technical, operational, and product-related information into concise and compelling documentation for customers, sales teams, and product management.
  • Interview subject matter experts and gather technical information to create accurate, consistent, and customer-focused content.
  • Ensure all technical documentation follows established writing standards, branding guidelines, and quality expectations for clarity, consistency, and usability.

Education and Experience Qualifications
  • Bachelor's degree in Business Administration, Communications, English, Marketing, Technical Writing, or a related field; or equivalent combination of education and experience.
  • 3+ years of experience in proposal coordination, proposal management, technical writing, content management, business development support, or a related role.
  • Experience supporting RFP, RFQ, RFI, contract bid, or grant proposal response processes.
  • Experience managing content libraries, templates, and document repositories preferred.
  • Technical writing experience involving software, technology, manufacturing, utilities, metering, engineering, or other complex products and services preferred.
  • Experience working with proposal management software, CRM systems, content management systems, or document management platforms preferred.

Knowledge, Skills and Abilities
  • Strong proposal writing, technical writing, editing, and proofreading skills.
  • Exceptional attention to detail and commitment to content accuracy and quality.
  • Ability to interpret solicitation requirements and translate them into compliant, customer-focused responses.
  • Ability to recognize and notate term and condition requirements within an RFP, RFQ, Bid, or other customer documentation.
  • Strong organizational and project management skills with the ability to manage multiple deadlines simultaneously.
  • Ability to communicate complex technical concepts clearly to both technical and non-technical audiences.
  • Excellent verbal and written communication skills with the ability to collaborate across Sales, Marketing, Product Management, Operations, and Executive Leadership teams.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and Teams.
  • Self-motivated with the ability to work independently while managing competing priorities in a deadline-driven environment.

The compensation range for this position is $61,200.00 - $91,800.00, depending on experience. This position may be eligible for performance based bonus plan.
