Overview
The Opportunity
We have an exciting opportunity for a Proposal Facilitator Associate to support Walbridge's proposal and pursuit efforts by managing proposal-related activities that are lower in strategic complexity but critical to the overall business development pipeline. This role supports the Proposal Facilitator by coordinating and completing RFIs, RFQs, foundational client RFPs, market research, and pre-qualification materials such as brochures and one-pagers.
Along with proposal development, the Associate will act as the Business Development liaison to Walbridge's Self-Perform teams and help manage self-perform opportunities. This role ensures timely, compliant submissions and supports collaboration across teams.
This role provides foundational experience in proposal coordination, client-facing documentation, and cross-functional collaboration. Over time, there are opportunities to grow into higher-responsibility proposal management roles and support more strategic pursuits within Business Development and Marketing.

This position is full-time, onsite in Detroit, Michigan; your parking will be paid for.
Responsibilities
Your key responsibilities
  • Proposal & Qualification Support: Manage RFIs, RFQs, pre-qualification materials, and foundational client RFPs, including repeat or negotiated work with standard requirements. Review documents for compliance, complete compliance matrices, track deliverables, coordinate internal inputs, and hold contributors accountable to deadlines
  • Content Coordination & Management: Lead proposal kick-off meetings and review sessions. Coordinate and review content for consistency in messaging, formatting, and branding. Assemble proposal materials with the Marketing team, maintain proposal content libraries, submit new content for standard narratives, and support organizational chart development as needed
  • Market Research & Marketing Materials: Conduct market research to support proposals and pursuits. Assist with the development and updating of brochures and one-pagers, and support responses to client requests requiring standard or previously developed materials
  • Process & Continuous Improvement: Support post-submission documentation and lessons learned. Assist with maintaining proposal processes, templates, and tools, and collaborate with the Proposal Facilitator to balance strategic and non-strategic workload
  • Self-Perform Group Liaison: Support Self-Perform estimating and operations leadership by maintaining opportunity data in CMiC. Participate in weekly estimating meetings and coordinate monthly meetings with Business Development and Self-Perform Operations Leadership to ensure opportunity information is accurate and up to date

Qualifications
To qualify for this role, you must have
  • Bachelor's degree in marketing, communications, or business
  • At least 1 years' experience supporting proposal, marketing, communication or business development activities
  • Familiarity with RFIs, pre-qualifications, and RFP responses
  • Strong organizational and time management skills
  • Excellent attention to detail and the ability to follow instructions
  • Clear written and verbal communication skills
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint
  • Occasional travel

  • Experience working in deadline-driven, collaborative environments
  • Exposure to cross-functional coordination and client-facing documentation
