General Summary
The Assistant Project Manager (APM) provides critical operational and administrative support to the Project Management team at Kenny Seng Construction (KSC). Driven by our mission to Make Life Excellent, the APM ensures that project data, documentation, and communication flow seamlessly between the office and the field.

REPORTING & INTERACTION
  • Primary Reporting: Reports directly to the Project Operations Manager and accepts assignments from Project Manager.
  • Field Collaboration: Supports the Project Superintendent and Foremen by providing updated plans, specifications, and administrative assistance.
  • Internal Support: Assists the PM in coordinating with the accounting department for project setup and budgeting.
  • Direct Reports: None.

AUTHORITY & DECISION RIGHTS
  • Coordination: Authority to assist the PM in the management and daily coordination of assigned projects.
  • Representation: Authority to represent the PM and KSC at project coordination meetings when designated.
  • Information Management: Authority to organize digital and physical project folders and solve administrative problems to promote profitability.
  • Oversight: Authority to monitor site conditions (via pre-con inspections) and notify public agencies of traffic or service disruptions.

CORE RESPONSIBILITIES & DUTIES
  • Pre-Construction Execution
    • Initialize project folders, obtain project numbers from KSC Accounting, and transfer bid information.
    • Draft Purchase Orders and Subcontract Agreements as assigned by the PM.
    • Coordinate critical submittals with subcontractors and suppliers to meet project timelines.
    • Perform pre-construction site inspections, including video documentation of existing conditions.
    • File for SWPPP NOI and assist with the development of SWPPP plans.
  • Construction Operations & Technology
    • Maintain Bluebeam Studio and GC File Share sites, ensuring field personnel always have the most current digital plan sets.
    • Assist Foremen with Track digital timecard reporting and iPad troubleshooting.
    • Manage project "Books" and distribute updated plans/specs to the field team.
    • Handle public notifications for traffic control, alerting police, fire, and waste management of disruptions.
  • Financial & Contract Administration
    • Assist the PM with T&M (Time & Materials) Change Orders and budget setup.
    • Review Project Plans and Specifications to ensure KSC's scope is strictly followed.
    • Ensure all correspondence, RFIs, and schedules are filed in a timely, organized manner.

STANDARDS OF PERFORMANCE
  • Data Integrity: Project folders and digital plan sets are updated within 24 hours of receiving revised information.
  • Responsiveness: Submittals and RFIs are processed and tracked to prevent any schedule delays.
  • Accuracy: Purchase orders and subcontracts are drafted with zero errors based on PM instructions.
  • Proactivity: Public and emergency services are notified of traffic changes at least 48 hours in advance.

Education
  • Bachelor's Degree in Civil Engineering, Construction Management, Business Administration, or related field preferred, or equivalent combinations of technical training and related experience.

Knowledge, skills, and abilities
  • Proficiency with all MS Office products (Word, Excel, PowerPoint, etc.), Scheduling and AGTEK Take-off software.
  • Working knowledge of construction equipment and techniques, drawing and specifications, building materials and required standards applicable to discipline.
  • Ability to perform trigonometric calculation either manually or with a calculator.
  • Ability to assume responsibility, interface and communicate effectively with others.

Physical Demands

While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to stand, walk, sit and use hands to operate a computer keyboard. The employee is occasionally required to reach with hands and arms. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, and ability to adjust focus. At times will be working around large construction equipment, must be safety conscience.
