Job description

Position summary: The Construction Administration Coordinator supports project managers by ensuring project documentation is accurately processed, tracked, and communicated throughout the bidding and construction phases. 

Compensation for this position is $24.00 - $29.00 an hour, commensurate with experience, education and certifications. The provided range is a good faith estimate based on the requirements described within the job description. Immigration sponsorship or support (e.g. H1B, F-1 CPT/OPT/STEM OPT) is not available for this position, except for qualified candidates eligible for the TN visa classification. 

Essential functions and responsibilities: 

  • Support Project Managers with document workflows during the Construction Administration phase of design projects. 

  • Coordinate submittal and RFI workflows across multiple platforms (e.g., Procore, Auto Cloud Construction, ECMS), ensuring accurate logging, routing, and tracking within the firm’s project management system 

  • Monitor review timelines and follow up with project team members to ensure timely completion and response to project documentation 

  • Manage multiple projects concurrently, balancing priorities to support timely document coordination and delivery 

  • Track and support the review of change order proposals and prepare change orders 

  • Maintain accurate and up-to-date project documentation within firm systems 

  • Prepare project reports to support monitoring of construction phase progress 

  • Support construction meetings, including coordination and documentation as needed. 

  • Communicate with project teams, clients, and contractors to facilitate timely document flow and responses 

  • Provide general administrative and project support for Project Managers and project teams 

  • Perform quality assurance/quality control (QA/QC) checks to ensure project documentation is accurate, complete, and consistent with project requirements

Required Experience

Qualifications Required 

  • High school diploma or GED equivalent is required 

  • Familiarity with construction industry 

  • 4 years of administrative experience in an architectural, engineering, or construction firm 

Qualifications Preferred  

  • Associate or bachelor's Degree in a business/accounting/finance-related field  

  • Certified Design Firm Administrator (CDFA) 

  • Construction Documents Technologist (CDT)
