LOCATION: BELLEVUE

The Construction Administrator manages subcontractor's insurances, waivers, liens and collaborates with the Accounting Department, Project team, Risk Management, and Legal teams to identify potential risks on incompliance vendor. In addition, the Administrator is responsible for ensuring that contract requirements are met prior to releasing vendor payment and facilitates submissions of required documents and inquiries from subcontractors, including sub-tiers.

What You Will Do:

  • Manages procurement, reviews, and validates sub-contractor's Insurances (Professional Liability/ Errors or Omissions, General Liability, Automobile Liability, Excess Umbrella Liability, and Worker's Compensation)
  • Manages the maintenance of insurance certificates in GC Pay and internal database
  • Coordinates identified non-compliant insurance and waiver requirements from sub-contractors including the sub-tiers with Risk Management
  • Manages procurement, reviews, and validation of sub-contractor and sub-tier Waivers (Conditional/Unconditional Progress and Conditional/Unconditional Final Release)
  • Manages the maintenance of Waivers in GC Pay and internal database
  • Manages outstanding Mechanic Liens from sub-contractor including the sub-tiers
  • Facilitates resolution of the release of Mechanic liens with the Legal Department
  • Manages filed Preliminary Notices from sub-contractor including the sub-tiers
  • Manages the maintenance of Preliminary Notice from GC Pay and internal database
  • Prioritizes and manages multiple projects simultaneously and follow through on issue.
  • Coordinates and entry of waivers (Conditional and Unconditional), vendor, sub-tiers, suppliers Preliminary Notices and Insurance Certificates and follow-up
  • Prepare Conditional and Unconditional waivers for lenders monthly to draw requests and follow up if any missing
  • Verifies if insurance is current and waivers from vendors, sub-tiers, suppliers on file and follow up if any are missing
  • Prepares waivers for checks to be issued
  • Responsible for entering check info in the outstanding check log for approval and follow up if cleared
  • Manages internal communication via telephone, email inquiries and responds as appropriately.
  • Facilitate construction contracts with Project Coordinator and Project Managers with various trades
  • Facilitates change orders with Project Coordinator and Project Managers
  • Tracks and logs all contracts, change orders, business licenses, LNI compliance letters, insurance, etc to ensure all stay current
  • Organizes and supports the Project Managers and the Project Coordinators with meetings scheduling, letters and documents preparation, contract signatures, invoicing, minutes, etc.
  • Preparing various construction documents, sending out letters and general communication to trades and Site Superintendents
  • Oversees and coordinates administrative functions of the corporate office ensuring its smooth and efficient operation
  • Coordinate with Administrative staff in various ONNI offices to ensure most current standards are being followed
  • Occasional travel may be required
  • Performs other duties as required

What You Bring

  • 2+ years construction administration experience
  • Experience in construction industry and with compliance, strongly preferred
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
  • Excellent verbal, written and keyboard skills
  • Attention to detail and excellent at multitasking in a fast-paced environment
  • Detailed at prioritizing and managing multiple projects simultaneously, and follow through on issues in a timely manner along with managing deadlines
  • Must be able take initiative and a strong problem solver
  • Upbeat, positive, outgoing, personable and able to relate well with diverse populations and age groups
  • Diligent on follow up and project timetables

Salary Range:

$81,000-$90,000
