HOW YOU'LL MAKE AN IMPACT
As an Asset Management Specialist you'll play a vital role in advancing our mission. In this position, you'll be responsible for providing critical asset and records management to support production requirements across multiple facilities globally. Position supports thousands of items of facility-related and medical equipment throughout the organization. Serves as primary vendor coordinator and equipment service specialist for all PMs, calibrations, and corrective maintenance. Provides key audit support for both internal and external audits. Owns and maintains the Computerized Maintenance Management System (CMMS) including providing training as required across the company. Integrates with Space group as it relates to facility enhancements and required actual building drawing amends in support of the CMMS.

WHAT YOU'LL DO
  • Help Desk: Receives, reassigns, and completes requests for the Service Now system for all LifeNet Health locations in a timely manner, covering requests for internal services, external services, repairs, housekeeping, building maintenance, etc. Provides support for all nationwide locations' facilities and building issues. Primary source for Service Vendors including identifying, qualifying, on-boarding and scheduling. Under the supervision of leadership, coordinates required due services for nationwide locations monthly; schedules equipment maintenance activities (including preventive, corrective, calibration, etc.); issues purchase orders, handles quotes, and schedules vendor services for on-site and shipping; reconciles status of all due services. Creates, monitors, and routinely reports key performance indicators to ensure stable operations, continuous improvement of equipment reliability, and timely completion of tasks, projects, and maintenance schedules. Generates reports as requested for evaluation of costs, asset management, and ownership.
  • Audits/Data & Records: Provides key audit support for both internal and external audits. Under the supervision of leadership, position is responsible for each of the following areas of regulated databases, documentation, and processes including when they are called upon in audits, both internally and externally: (1) CMMS: Responsible for master data creation, maintenance planning, vendor coordinator, vendor work orders, various compliance reports for Quality and training where needed. (2) Contract Management Software: Work directly with vendors to create, revise, and uphold service agreements, price quotes, and contracts as related to facility-equipment and facility-locations nationwide. Primary interface for the Consignment Freezer program and contracts (3) Electronic Records: Creates and maintains required documentation and archived records for equipment files, biohazard waste manifests, leases, numbering logs (for various equipment), Certificates of Insurance, etc. Maintains fleet services, including current inspections, vehicle insurance policies, vendor maintenance, and fuel cards for each vehicle.
  • Documentation Liaison: Receives service invoices for reconciliation. Works closely with department managers. Accounting, and Purchasing to ensure vendor invoices are paid and are charged to the correct GL account and cost center. Under the direction of leadership, reconciles payments for utilities and security deposits as well as collaborates with landlord regarding repairs and individual site grievances. Acts in accordance with Authority Having Jurisdiction (AHJ) regulatory organizations, providing inspections and test certifications.

WHAT YOU'LL BRING
Minimum Requirements:
  • High Schol Diploma or GED
  • Valid State Driver's License
  • TWO (2) Years - Related experience to include electronic records management systems and related customer services
  • ONE (1) Year - Computerized Maintenance Management System (CMMS) experience and Help Desk Management System

Preferred Experience/Skills/Certifications:
  • Associate Degree - Business and Systems Management Studies
  • Lean Certification - White Belt/Green Belt
  • THREE (3) Years - Experience scheduling repairs and maintenance of equipment, facility related requests and/or audit support
  • THREE (3) Years - Scheduling vendors and coordinating with Production Managers
  • ONE (1) Year - Nuvulo CMMS and Service Now

Key Knowledge, Skills, & Abilities:
  • Proficient in MS Office: PowerPoint, Excel, Word, Outlook, Microsoft Suite
  • Communication Skills: Verbal and written communication skills; ability to communicate and build relationships with all professionals at different levels within the organization
  • Regulatory Standards: Knowledge of regulatory agency standards (i.e., OSHA, ISO, FDA)
  • Attention to detail: Able to perform tasks thoroughly and with care; checks work to ensure high degree of accuracy/completeness and early/on-time delivery
  • Time Management: Able to prioritize multiple competing priorities and manage workload. Demonstrated ability to effectively prioritize and manage multiple time sensitive projects, multitask, identify project interdependencies and potential risks/pitfalls
  • Administrative Skills: Knowledge of Procurement and Accounts Payable processes
  • Collaboration and Troubleshooting: Able to collaborate with internal departments to resolve asset and service-related issues

COMPENSATION
Salary Range: $22.40 - $29.87/hourly
Final compensation will be based on factors such as geographic location, qualifications, and prior relevant experience. Actual compensation may be higher based on the successful candidate's knowledge and relevant experience.
