Meeting and Event Manager - The Osthoff Resort amp; Spa
Job Purpose
As a Meeting and Event Manager, you will be pivotal in driving group catering opportunities, including weddings, ensuring maximum utilization of event spaces and optimizing revenue to exceed resort targets. It is necessary to thrive in a fast-paced environment. This role involves coordinating service across the banquet department and the resort. Upholding high productivity levels while delivering warm, hospitable, and enthusiastic service is essential. This role ensures all aspects of events run smoothly and efficiently, meeting the specific needs and expectations of clients. Duties and Responsibilities
  • Handle and convert inquiries for catering via phone calls, walk-ins, and emails.
  • Finalize and meticulously detail all group, catering, and in-house business.
  • Serves as the main contact and coordinator for weddings. Coordinates with wedding couples for all events, including tasting, rehearsal, ceremony, reception details, and vendor arrangements.
  • Develop and implement comprehensive catering agreements and estimates.
  • Create BEOs (Banquet Event Orders) and obtain proper signatures and guarantees within required timelines.
  • Prospect and network for new catering opportunities; track leads in Delphi.
  • Maintain accurate and organized catering sales files and notes.
  • Communicate service needs to other departments, including creating Resumes for each group to distribute to resort departments.
  • Collaborate with other departments to assist clients in executing their event visions.
  • Identify upselling opportunities to maximize revenue from each group.
  • Recommend areas for profit improvement to the Director.
  • Collaborate with the resort marketing team to attract event business.
  • Ensure bookings are properly placed with a healthy space ratio to meet or exceed revenue plans.
  • Design, develop, and sell creative catered events.
  • Design room layouts for prospective or booked clients as needed.
  • Assist the sales team with estimates or site inspections to help secure group business.
  • Maintain knowledge of market trends, customers, and competition.
  • Complete any required reporting.
  • Conduct walk-in tours and pre-con meetings as needed.
  • Attend management meetings as needed.
  • Perform tasks and projects supporting client schedules and revenue achievement, including night or weekend appointments when necessary.
  • Build relationships and provide exemplary customer service to drive satisfaction and loyalty.
  • Complete other duties as assigned by the department Associate Director, Director and/or Executive Team members.
  • Dissemination of the resortโ€™s values, mission, vision and culture.
Qualifications
  • Education: Degree in Hospitality Management, Business Administration, or a related field preferred.
  • Experience: Prefer a minimum of 2 yearsโ€™ experience in event planning or conference services, with a proven track record of managing events.
  • Skills: Exceptional organizational, communication, and problem-solving skills. Proficiency in event management software and Microsoft Office Suite. Ability to work independently and as part of a team. Proficient in using time management tools and techniques to optimize productivity.
  • Attributes: Detail-oriented, proactive, and capable of handling multiple tasks simultaneously. Strong leadership abilities and a customer-focused, positive attitude. Capable of managing and addressing pressure with a solution-oriented mindset and positive attitude.
  • Polished personal presentation with a warm, confident demeanor.
  • Flexibility to work a varied schedule to meet client needs and provide office coverage. This will include some weekends and evenings.
  • Ability to learn quickly and accurately.
Working Conditions
  • Environment: Office and resort setting. Occasional travel may be required. The ability to conduct site visits and assist with operations where needed is expected.
  • Hours: Full-time position with some evening and weekend work based on event schedules.
  • Reports to: Director of Sales
