A conference director oversees the organizing and planning of a convention, exhibition, or other events, often on behalf of a specific venue. In addition to meeting with potential clients and marketing on behalf of the venue, their responsibilities include the negotiation of contracts for outside services, such as catering or equipment rental. Their duties are to manage logistics and execute the contracts of all events. Qualifications often include a bachelor’s degree in business administration, hospitality, or a related field as well as experience in logistics or event planning.
| Aspect | Conference Director | Event Coordinator |
|---|---|---|
| Responsibilities | Oversees entire conference planning, strategy, and execution | Handles specific event logistics and day-to-day tasks |
| Credentials | Often requires experience in event management, project management, or related fields | Typically requires event planning or hospitality experience |
| Work Environment | Works with senior management, vendors, and large teams in corporate or academic settings | Works directly with clients, vendors, and smaller teams for event execution |
| Industry Usage | Common in corporate, academic, and large-scale conference settings | Common in hospitality, wedding planning, and smaller events |

Review and approve team members' BEOs, group resumes, and client-facing communications to ensure accuracy and consistency prior to distribution. Conduct regular one-on-ones and team meetings to align on priorities, resolve issues, and share best practices. Maximize event and account profitability through effective upselling of menus, enhancements, room upgrades, and ancillary services. Oversee accurate group billing, ensuring timely and complete posting of charges, review of banquet checks, and preparation of final invoices for assigned groups. Track attrition, cancellation fees, and other revenue-impacting items in accordance with contractual terms. Produce accurate monthly reports, forecasts, and account action plans that clearly communicate progress toward revenue goals. Maintain awareness of budget goals and contribute directly to departmental and hotel-wide revenue targets.
