This individual will play an important role in supporting our lawyers, notaries, and administrative team while ensuring that clients and visitors receive a professional and welcoming experience. Position Overview

Reporting to the Firm's legal professionals and support staff, the successful candidate will be responsible for a variety of administrative, clerical, and legal support functions. This role is essential to the effective day-to-day operation of the office and maintaining a high standard of client service.

Primary Responsibilities


Reception & Administrative Support

  • Answer, screen, and direct incoming telephone calls.
  • Respond to and redirect incoming emails.
  • Welcome clients and visitors in a professional and courteous manner.
  • Manage appointments, meetings, and scheduling.
  • Coordinate conference room bookings.
  • Handle incoming and outgoing mail, courier deliveries, and packages.
  • Maintain a clean, organized, and welcoming reception area.
  • Support lawyers, notaries, and staff with general administrative tasks.
  • Assist with document preparation, correspondence, and filing.


Secondary Responsibilities

Legal & Notarial Administrative Support

  • Prepare and issue certified copies for clients.
  • Assist with file opening, file maintenance, and file closing procedures.
  • Follow up on outstanding administrative matters and documentation.
  • Assist with the preparation, minuting, and publication of notarial deeds.
  • Order trust account cheques and assist with invoice processing.
  • Organize and maintain physical and electronic files.
  • Coordinate file disbursement and archiving.
  • Assist with various office, administrative, and operational projects as required.


Qualifications & Skills

  • Diploma in Legal Secretarial Studies or a related field.
  • Previous experience in a law firm, notarial office, or professional services environment is considered an asset.

Principales responsabilités

Réception et soutien administratif

  • Répondre aux appels téléphoniques entrants, les filtrer et les acheminer aux personnes concernées.
  • Répondre aux courriels entrants ou les rediriger au besoin.
  • Accueillir les clients et visiteurs de façon professionnelle et courtoise.
  • Gérer les rendez-vous, réunions et horaires.
  • Coordonner la réservation des salles de conférence.
  • Gérer le courrier entrant et sortant, les livraisons par messagerie et les colis.
  • Maintenir un espace d’accueil propre, organisé et accueillant.
  • Soutenir les avocats, notaires et membres du personnel dans diverses tâches administratives.
  • Participer à la préparation de documents, de correspondance et au classement.

Responsabilités secondaires

Soutien administratif juridique et notarial

  • Préparer et émettre des copies certifiées conformes pour les clients.
  • Participer à l’ouverture, à la gestion et à la fermeture des dossiers.
  • Effectuer les suivis relatifs aux documents et aux questions administratives en suspens.
  • Participer à la préparation, à la rédaction, à la minutation et à la publication des actes notariés.
  • Commander les chèques du compte en fidéicommis et participer au traitement des factures.
  • Organiser et maintenir les dossiers physiques et électroniques.
  • Coordonner l’archivage et la fermeture des dossiers.
  • Participer à divers projets administratifs, opérationnels et de bureau au besoin.

Qualifications et compétences recherchées

  • Diplôme en secrétariat juridique ou dans un domaine connexe.
  • Une expérience dans un cabinet d’avocats, une étude notariale ou un environnement de services professionnels constitue un atout.
