Job description

Overview

The Senior Conference Services Manager plays a critical role in the success of Seaport Hotel, serving as the primary liaison between clients and hotel operations for all group and event business. This leader is responsible for cultivating strong client relationships, ensuring contractual compliance, and delivering exceptional, seamless event experiences.

This role partners cross-functionally to coordinate all aspects of group programs, negotiates contract adjustments aligned with business objectives, and identifies opportunities to maximize revenue and profitability. The Senior Conference Services Manager also leads and develops the Conference Services team, requiring strong leadership, organization, and communication skills to consistently exceed client expectations.

Responsibilities

Essential Functions

Client & Event Management

  • Serve as primary point of contact for clients from contract turnover through event completion
  • Partner with clients to define and execute event specifications (guest rooms, meeting space, F&B, exhibit needs, etc.)
  • Ensure all client requirements align with hotel capabilities and service standards

Contract & Revenue Management

  • Negotiate contract modifications to balance client satisfaction with profitability
  • Identify and drive incremental revenue opportunities across all aspects of group business
  • Develop and manage contracts for ancillary ("allied") business opportunities
  • Review and approve final billing to ensure accuracy and adherence to agreements

Event Planning & Execution

  • Prepare and customize detailed event documentation including:
    • Banquet Event Orders (BEOs)
    • Event resumes
    • Menus and program details
  • Lead cross-functional collaboration across hotel departments to ensure flawless execution
  • Conduct site tours, tastings, and client visits to showcase the property and services

Leadership & Team Development

  • Lead, coach, and develop the Conference Services team
  • Foster a culture of accountability, collaboration, and service excellence
  • Align team performance with departmental and hotel goals

Strategic Collaboration

  • Participate in sales and revenue strategy meetings
  • Partner with Sales, Catering, Revenue Management, and Operations teams to optimize outcomes
  • Contribute to business planning and group strategy initiatives
Qualifications

Experience:

  • 10+ years of meeting or event management experience, preferably within hospitality
  • Significant leadership experience required (multi-person team oversight preferred)
  • Experience in urban hotel markets strongly preferred (Boston highly desirable)
  • Certified Meeting Planner (CMP) designation preferred
