This position serves as a central point of coordination for office operations and employee engagement activities while helping create a welcoming, professional, and efficient workplace environment.

Responsibilities
  • Administrative Support: Assist with day-to-day administrative tasks, including managing phone calls, emails, and correspondence. Maintain and organize files, documents, and records. Use a company credit card to purchase supplies in accordance with company purchasing policy and expense reporting guidelines.
  • Client and Visitor Interaction: Greet and assist visitors, clients, or vendors. Provide courteous and professional assistance, directing inquiries or requests to the appropriate person or department.
  • Event Management: book catering, organize all printed materials, grocery shopping, organize shipments for remote sessions, and event cleanup such as cleaning tables and washing dishes. Actively manage cleanliness and inventory levels for kitchen food supplies, office supplies and branded giveaways.
  • Data Entry and Documentation: Input and manage data in databases or spreadsheets. Prepare reports, presentations, and other documentation as required.
  • Support Various Departments: Collaborate with different teams to support specific projects, meetings or tasks. Be adaptable and ready to assist wherever necessary.
Requirements
  • High School Diploma or equivalent required.
  • Valid driver's license and access to reliable transportation required. Ability to travel locally as needed for office-related errands, event support, supply purchases, catering pickups, and other business needs.
  • Previous Experience: Prior experience in an administrative or office support role. Experience in catering and banquet deliverables is advantageous but not mandatory.
  • Organizational Skills: Ability to prioritize tasks and manage time effectively. Strong organizational skills to handle multiple responsibilities simultaneously.
  • Communication: Excellent verbal and written communication skills. Ability to interact professionally with internal and external stakeholders.
  • Attention to Detail: Keen attention to detail in tasks, documentation, and communication to ensure accuracy and quality.
  • Adaptability: Flexibility to adapt to changing priorities and work environments. Willingness to take on new tasks and responsibilities as needed.
  • Tech Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment (printers, scanners, etc.). Minimum typing speed of 45 WPM.
  • Ability to lift/carry up to 35 lbs.
  • Technology Aptitude: Comfortable learning and navigating new software platforms with limited instruction. Ability to troubleshoot basic office technology issues, learn internal systems, and utilize software tools to support office operations.
  • Self-Starter Mentality: Demonstrated ability to work independently, ask questions, identify solutions, and take ownership of responsibilities with limited day-to-day direction.
  • Inventory & Expense Management: Experience managing inventories, coordinating purchases, tracking supplies, reconciling expenses, or supporting office budgets is preferred.
  • Customer Service Mindset: Professional, positive, and welcoming demeanor with the ability to serve as the first point of contact for employees, visitors, customers, and vendors
