PAY RANGE:  $24.00 - $27.00/Hour, Based on Experience
CIVIL SERVICE TITLE(S):  Office Clerk II or III (Competitive)
JOB DESCRIPTION:   Provides centralized office management and administrative support to ensure the efficient operation of department systems, workflows, and daily activities.



TYPICAL DUTIES:  

Office Operations & Administrative Support

  • Serve as point person for day-to-day building operations
  • Maintain distribution lists, department calendars, SharePoint accounts, and provide basic technical support
  • Manage departmental communications and ensure timely dissemination of information
  • Serve as liaison to maintenance and technical support teams for office and classroom requests
  • Submit and track work orders (including keys and equipment disposal)
  • Coordinate safety and logistics events (e.g., fire drills, dismissals)
  • Maintain department resources and content on SharePoint
  • Safeguard confidential information
  • Provide backup support to reception and office staff

HR Functions & Staffing Support

  • Post job vacancies and coordinate interview scheduling
  • Process new hire paperwork and onboarding activities
  • Coordinate workstation, computer, and phone setup
  • Maintain staff directories and department mailboxes
  • Maintain records for and assist in the scheduling of Annual Performance Reviews and observations of staff
  • Process annual salary updates and reappointments
  • Maintain and track NYSED certification records for teaching and adult education staff to ensure ongoing compliance
  • Tracking of PD hours and certifications in ASISTS and communicating requirements and updates to staff
  • Maintain support staff/instructional substitute lists and communicate staffing needs
  • Assist in securing support staff substitutes as necessary

Payroll & Attendance Management

  • Track employee absences and maintain attendance records
  • Communicate department daily attendance
  • Maintain payroll documentation and ensure accuracy
  • Assist in coordinating department payroll processes, including annual updates and reappointments
  • Support Director with verification and approval of mileage and time sheets in WinCapWeb

Meeting & Event Coordination

  • Assist in planning and coordination of logistics for department meetings and events
  • Provide preparation and day-of-event support
  • Organize special events and activities, including all coordinating room reservations

Administrative Coordination

  • Serve as a primary contact for staff administrative inquiries
  • Monitor department schedules, timelines, and activities
  • Prepare, format, and distribute documents and reports

Office Systems & Resource Management

  • Maintain and troubleshoot department copiers, including service coordination
  • Manage office supply inventory and ordering in coordination with purchasing
  • Track and submit credit card documentation in compliance with procedures
  • Support and process donation requests for Board approval

Travel & External Support

  • Coordinate staff travel, including registrations, accommodations, and transportation
  • Ensure all required documentation is completed (i.e. preapproval of conference forms and expense report processing)

Additional Responsibilities

  • Participate in committees as assigned
  • Support Cabinet-level administrative functions
  • Notary Public certification preferred (New York State)


JOB QUALIFICATIONS: 
 

Qualifications:

  • Strong organizational and communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Experience with administrative systems, payroll tracking, and scheduling tools
  • Proficiency in Microsoft Office and SharePoint

Work Environment:

  • This role functions as the operational hub of the department, requiring strong collaboration, proactive problem-solving, and attention to detail to support staff, leadership, and overall department success

Must possess or meet requirements for Civil Service title Office Clerk II or III. 

Clerk II  - High School diploma and 3 years full or part time or volunteer equivalent office clerical or secretarial experience; or an Associate's degree in Secretarial Science, Office Technology or a closely related field plus one (1) year of office clerical or secretarial experience.
Clerk III - High School diploma and 2 years paid full-time or part-time or volunteer equivalent office clerical or secretarial experience; or an Associate's degree in Secretarial Science, Office Technology or a closely related field.
