Summary of PositionAssists the Associate Director of Careers, Internships & Co-ops in managing the daily operations of STEM Careers, Internships & Co-ops within the STEM Professional Services unit. This position interfaces regularly with students, faculty, and staff with a strong emphasis on student engagement. Supports current STEM students in all aspects of career development, including creating individualized career development plans, coordinating internship and co-operative education experiences, and assisting with the transcription of internship, co-op, and research experience for undergraduates (REU) experiences within the college. Provides STEM alumni with guidance on career assessment, career exploration, job search strategies, and graduate school options. Contributes to workshops, career-related programs, and professional development initiatives; collaborates with institutional partners as needed; and assists with the administration of grants.
Position InformationEssential Functions and Responsibilities:Career Advising:
Counsel students and alumni on career planning, including self-assessment, networking, and skills development; advise students and alumni about current market trends regarding job searching. Conduct appointments and hold weekly walk-in hours.
Research and develop expertise in distinct practice areas or market segments related to student majors.
Advise students individually and in groups on career decision-making and preparing for appropriate cooperative education and internship opportunities related to their major, potential graduate school programs and/or career goals.
Educate students on the difference between paid internships/co-ops/REUs and for-credit internships; help students decide on the best options for their career development, including offers in the decision-making process, connecting students with current opportunities, and providing follow up assistance to employers in the recruiting timeframe.
Assist with creating and maintaining digital and physical materials for the STEM Professional Services Unit.
Internship, Co-op, and REU Management:
Administer and maintain program guidelines for both student and employer participants; identify existing opportunities within the university with the potential to convert to internships.
Review syllabi, work assignments, and finalize all paperwork as related to the experiential learning experience; assist with course overrides and registration.
Track, analyze, and report data related to co-op and internship activities; provide data as requested.
Guide student assistants on collecting documents, filing paperwork, contacting and following up with students for missing information and creation of contracts.
Direct and advise students on issues that arise during experiences and consult with employer supervisors to resolve issues; direct students to additional resources on campus when the situation arises.
Programming and Events:
Develop and implement programming including orientations, workshops, presentations and other related to co-op and internships, and research experience (REU's) topics.
Market programming via email, handouts, and classroom visits.
Assist with ensuring events are listed on the STEM Professional Services calendar and on Handshake.
Assist with special programs as they relate to the University, the College of STEM, STEM Professional Services and Careers, Internships & Co-ops.
Representing the College of STEM, Professional Services, Dean's office as needed for internal and external events.
Communication:
Collaborate with faculty, staff, academic departments, academic advising, employers, and community partners.
Provide information on policies and procedures.
Partner with academic and research departments to capture information on existing internships, research, lab, and other experiential learning positions.
Setting up and attending all meetings needed for various areas for either the College of STEM or the STEM Professional Services Unit.
Documentation and Record Management:
Maintain detailed records on student appointments and programming.
Maintain updated Microsoft Outlook calendar; assist with overseeing general office email inboxes; answers all phone calls and email correspondence in a timely manner.
Maintaining student notes and files on the Handshake database.
Provide technical support for efficient use of the Handshake database and coordinate database activities for Careers, Internships & Co-ops and the STEM Professional Services Unit.
Other Functions and Responsibilities: Assists with training new hires.
Performs other duties as assigned and/or required.
Equipment Operated: Computer and all other standard office equipment.
Work Schedule: Typically, Monday through Friday. Based on programming, occasional evening and weekend availability is required.
Supervision Exercised: May exercise supervision over student employees.

Minimum Qualifications At least a bachelor's degree in science, technology, engineering or mathematics (STEM), education, business or a related field; one year of related experience.
Preferred Qualifications: A master's degree in science, technology, engineering or mathematics (STEM), education, business or a relevant discipline. At least one year of experience specifically in career services or working in a collegiate setting.
Physical Requirements: In accordance with the U.S. Department of Labor physical demands strength ratings, this position will perform sedentary work.
Sedentary: work involves exerting up to 10 pounds of force occasionally or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time. Jobs may be defined as Sedentary when walking and standing are required only occasionally, and all other Sedentary criteria are met.
