Description

POSITION SUMMARY: Under direct supervision, the Medical Receptionist/ Medical Assistant uses basic knowledge and skills obtained through on-the-job training to provide patient centered medical services and education in support of PPNCNY's mission. Gathers patient information, identifies concerns, and provides information to other medical professionals in order to provide services and meet patient needs.


ESSENTIAL DUTIES:


1. Reviews upcoming appointments to ensure accurate patient information and financial responsibility

2. Identifies and researches other primary insurances using verification resources and complete Patient Insurance Authorization form, or makes notes to alert front office that patient signature is needed to bill or waive primary insurance(s) found

3. Assesses and documents patient responsibility for copay/deductible/coinsurance amounts based on eligible coverage(s) for visit type before patient arrival

4. Researches and identifies discrepancies with insurance eligibility in the PM system

5. Contacts insurance plans on behalf of patients to identify benefit details based on visit type

6. When required, obtains, and prepares patient waiver/non-covered services form for Front Office to complete with the patient

7. Performs day-to-day administrative functions and general office duties including but not limited to copying, faxing, answering phones and enters patient data using the Practice Management System and Electronic Health Records.

8. Welcomes and greets patients/visitors to the health center in a positive manner that is helpful and friendly; determines purpose of visit and directs patients/visitors to appropriate person or department(s).

9. Schedules patients according to Policies and Procedures to allow the health center to serve an adequate number of patients as established by the Medical Management Team.

10. Adheres to all health center policies on safety and security; maintains restricted areas by safeguarding keyless entry and computer system passwords in strict confidentiality.

11. Must exercise utmost professionalism to provide excellent customer service for patients; practices confidentiality and privacy protocols in accordance to health center policies and HIPAA requirements.

12. Maintains patient waiting areas and front-desk areas in a manner that is organized and neat.

13. Verifies method of payment for service and enters insurance information in the computer. Scans a copy of insurance card into the computer. Assigns correct fee categories. Collects payment as appropriate, including past balances.

14. Facilitates enrollment in the Family Planning Benefit Program, Family Planning Extension Program, and Presumptive Eligibility.

15. Exercises problem-solving and conflict resolution skills when handling patient complaints; refers patient complaints to appropriate designated personnel as needed.

16. Attends scheduled health center staff meetings and all staff day meetings.

17. Participates in affiliate efforts to achieve revenue cycle goals.

18. Collaborates with health center and non-health center team members to provide excellent internal and external customer service and satisfaction.

19. Adhere to affiliate goals and policies on professionalism, wait time in-health center and on the phone, and the system for addressing client complaints.

20. Understands and demonstrates compliance with PPNCNY's policies and procedures related to providing patients with medical supplies and services.

21. Accurately documents in the medical records.

22. Retrieves medical records for internal and external quality management audits or as required.

23. Transfers and receives patient medical records according to policy and procedure, including maintaining archived records.

24. Demonstrates accuracy in the collection and documentation of laboratory specimens.

25. Assists with patient reminder calls, reschedules cancellations and no-show patient visits.

26. Works as a part of a team to maximize productivity standards as determined by PPNCNY's Medical Management team.

27. Under the supervision of licensed health center staff, provides non-judgmental education and care related to PPNCNY's health center services.

28. Interviews patients on entrance to the health center prior to the exam.

29. Provides support, under the supervision of a RN/LPN/Provider, to patients receiving surgical services.

30. Prepares and restocks exam, intake and medication rooms daily to assure efficient patient flow under the general supervision of licensed staff.

31. Performs various medical lab functions, collecting blood and urine specimens, pregnancy testing, blood pressure, hemoglobin, weight and height while using aseptic technique and universal precautions.

32. Performs macroscopic exam of tissue post-abortion as well as the recording, reporting, referring, follow-up and transportation of specimens as needed.

Requirements

REQUIRED SKILLS AND ABILITIES:


1. Cultural sensitivity and demonstrated ability to work with diverse people groups.

2. Must be highly flexible; able to accommodate changing needs of the Department.

3. Excellent verbal and written communication skills.

4. Ability to work well under pressure with minimal supervision.

5. Willingness to work evenings and/or weekends.

6. Basic to intermediate computer knowledge and skills.

7. Ability to travel to other centers as needed.

8. Valid Driver's License.

9. Acceptance and understanding of PPNCNY's Personnel Policies.

10. Current certification in BLS/CPR.

11. Assists in training of new employees.


QUALIFICATIONS:


1. High School diploma or GED required.

2. Experience in a medical office with direct patient care experience or Certified Nursing Assistant certification preferred.
