ABOUT THE ROLE:

To support the Customer Service Department by ensuring accurate and timely processing of customer orders, service requests, and system data. This role provides data management and customer service support to Customer Service Representatives through order entry, record maintenance, reporting, and transaction processing, while assisting customers with inquiries and issue resolution. Through accuracy, attention to detail, and effective communication, the Customer Service Coordinator contributes to efficient departmental workflows and positive customer experience.

WHAT YOU'LL DO:

  • Process customer orders received via email, phone, and web forms within established service standards and deadlines.
  • Complete accurate and timely data entry for customer orders, account information, and service-related transactions.
  • Verify and maintain the accuracy and integrity of customer and order data within company systems.
  • Track customer orders and shipments and provide status updates as required.
  • Respond to customer inquiries by providing information, resolving issues, and identifying appropriate solutions.
  • Create and maintain customer SKUs and related records within the system.
  • Review and process web form orders.
  • Prepare manual credits and invoices with appropriate supporting documentation.
  • Check product availability and communicate information to customers and internal stakeholders.
  • Monitor and respond to customer requests received through Order Desk email accounts.
  • Process order cancellations and Return Authorizations in accordance with company procedures.
  • Generate weekly and monthly reports to support order management and maintain an accurate order bank.
  • Complete filing, scanning, and document management activities to maintain organized records.
  • Support Customer Service Representatives with data management, documentation, and order-processing activities.
  • Maintain confidentiality and comply with company policies and procedures.
  • Perform additional duties assigned to support departmental and business needs.

REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • In-Office with Flexibility
  • High school diploma or equivalent required.
  • Post-secondary education in Business Administration, Customer Service, Office Administration, or a related field is considered an asset.
  • Minimum 1-3 years of experience in customer service, order processing, data entry, or administrative support.
  • Strong data entry skills with a high degree of accuracy and attention to detail.
  • Excellent organizational, time management, and multitasking abilities.
  • Strong verbal and written communication skills.
  • Ability to provide professional and courteous customer service.
  • Strong problem-solving and analytical skills.
  • Strong team player with the ability to collaborate effectively with Customer Service Representatives and cross-functional departments.
  • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
  • Ability to generate and interpret reports.
  • Ability to learn new software applications and systems quickly.

Pay Range: 40,000 CAD - 45,000 CAD
