Job description

About the Position

This is not a desk-only administrative position.

Our office is home to several family-owned businesses, and this role provides administrative and operational support across all of them. Every day brings something different. You may be working on the computer one moment, assisting a customer the next, and later helping with print production or preparing customer orders.

If you enjoy variety, like learning new skills, and don't mind pitching in wherever help is needed, you'll fit right in with our team.

Responsibilities

Office Administration

  • Answer incoming phone calls and take accurate messages
  • Respond to routine emails
  • Scan, save, rename, and organize electronic documents
  • Maintain organized digital and paper filing systems
  • Enter and update information in Microsoft Office and other business software
  • Review documents for accuracy and completeness
  • Schedule appointments and maintain calendars
  • Greet customers and assist with basic questions
  • Maintain office supplies and assist with general office organization
  • Perform administrative tasks for multiple family-owned businesses while keeping information organized and separate

Print Production Support

  • Assist with copying, printing, cutting, binding, laminating, packaging, and preparing customer orders
  • Verify print orders for the correct customer, quantity, size, and spelling before completion
  • Help maintain a clean and organized production area
  • Learn basic operation of print equipment and production procedures

Computer Skills

You should already be comfortable using computers in a business environment.

Experience with the following is preferred:

  • Microsoft Word
  • Microsoft Excel
  • Adobe Acrobat, Nitro PDF, or similar PDF editing software
  • Microsoft Outlook or similar email/calendar programs
  • Basic Windows file management (creating folders, organizing files, saving documents, renaming files, and locating documents)

We will train you on our business software and printing equipment.

Experience

Previous office, customer service, retail, or administrative experience is helpful but not required. We are happy to train someone with the right attitude, strong computer skills, attention to detail, and willingness to learn.
