Position OverviewOur client is seeking a detail-oriented and organized
Operations Assistant to join the group on a short-term contract basis. This role will provide operational, administrative, and project support to the department, helping ensure the successful coordination of day-to-day activities and project-related tasks. The ideal candidate will possess strong computer skills, particularly in Microsoft Excel and Outlook, and demonstrate the ability to work independently while managing multiple priorities.
Key Responsibilities - Coordinate day-to-day operational activities and support short- and long-term projects.
- Collaborate with country coordinators and support overseas project activities as needed.
- Prepare and submit client invoices accurately and in a timely manner.
- Monitor accounts receivable activity and provide regular updates to Project Managers.
- Prepare and submit accounts payable documentation.
- Maintain and update subcontractor databases and records.
- Monitor and manage the subcontractor payable email inbox.
- Facilitate effective communication and collaboration across departments to support project success.
- Create, organize, and maintain project and departmental files.
- Perform routine data searches and maintain electronic project backups.
- Assist with general administrative and clerical support functions.
- Maintain inventory levels of PPE, equipment, and office supplies.
- Support additional departmental and project-related tasks as assigned.
QualificationsEducation & Experience - Bachelor's degree or equivalent preferred.
- 0-5 years of related administrative, operations, project coordination, or support experience.
- Previous experience in a technical, engineering, construction, or related industry is a plus.
Skills & Competencies - Strong computer proficiency, including Microsoft Excel and Outlook.
- Experience working with spreadsheets, databases, and project management systems.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple priorities and meet deadlines.
- Strong written and verbal communication skills.
- Ability to work independently and exercise sound judgment.
- Knowledge of accounts payable and accounts receivable processes preferred.
- Familiarity with ISO standards and project coordination processes is a plus.
- Understanding of business policies, procedures, and administrative operations.
