Delta V Management, LLC. is a full-service management organization offering services such as: Talent Acquisition, Human Resources, Benefits Administration, Vehicle Dispatching, Appointment Verification, Vehicle Maintenance and Porting, Content Development and Production, etc. Currently, Delta V Management, LLC. services ReliaRide Medical Transportation, a family-oriented nonprofit, originally organized in 2007. ReliaRide specializes in providing non-emergent transportation services to the elderly, underprivileged, and disabled population to medical, non-medical, and other necessary appointments.
This role will support both ReliaRide and Delta V Management, LLC., which currently oversees the day-to-day operations of ReliaRide. In the future, the position may expand to include similar responsibilities for other businesses managed by Delta V Management, LLC., based on future opportunities and the employee's capacity to grow into expanded responsibilities.
The Senior Administrative Assistant serves as the first point of contact for many clients, visitors, and business partners while providing administrative and scheduling support to Executive Leadership. This role is responsible for maintaining a professional and welcoming office environment, coordinating executive calendars and communications, managing designated company Google Calendars, and assisting with day-to-day operational needs. Success in this position requires professionalism, discretion, strong organizational skills, attention to detail, and a commitment to supporting the overall success of the organization.
Position Summary:
We are seeking a highly organized, detail-oriented Senior Administrative Assistant who embodies our brand, mission, and values. The ideal candidate is passionate about supporting employees and leaders while ensuring accountability, and consistency across the organization. This full-time, on-site position is responsible for being the first point of contact for many clients, visitors, and business partners, while providing administrative support to Executive Leadership. This role is responsible for maintaining a professional and welcoming office environment, coordinating executive calendars and communications, and managing designated company Google Calendars. Success in this position requires professionalism, multi-tasking, attention to detail, discretion, strong organizational skills, and a commitment to supporting the overall success of the organizations.
Key Responsibilities:
1. Executive Reception and Front Office Expectations
  • Serve as the first point of contact for visitors entering the office.
  • Greet visitors professionally and assist with questions regarding all companies and services.
  • Welcome visitors and direct them to the appropriate office, conference room, or podcast studio.
  • Maintain and welcoming, presentable, professional, and organized front office environment.
  • Maintain professionalism, communication, and confidentiality during all guest and client interactions.
2. Executive Scheduling and Communication
  • Coordinate scheduling for Executive Leadership, including both in-person and online meetings.
  • Manage executive calendars, scheduling priorities, and schedule coordination with accuracy, discretion, and attention to detail.
  • Serve as the primary administrator for designated company Google Calendars, ensuring calendar information remains accurate and up to date through the management of approved PTO requests, employee birthdays, company events, meetings, scheduling changes, etc.
  • Answer inbound phone calls professionally and direct calls and voicemails to the appropriate team member.
  • Maintain timely and professional communication regarding scheduling changes, meeting confirmations, and follow-up needs.
  • Demonstrate reliability, responsiveness, organization, and attention to detail in all scheduling and communication responsibilities.
  • Assist with meeting preparation, including conference room readiness, materials, and attendee coordination.
3. Administrative Support and Company Representation
  • Assist Executive Leadership with administrative tasks as assigned.
  • Maintain organization of office materials, schedules, meeting coordination, and company resources.
  • Maintain confidentiality regarding company information, leadership discussions, schedules, and sensitive information.
  • Professionally represent all companies during public-facing interactions, meetings, and events.
  • Support office operations and administrative functions as directed by Executive Leadership.
4. Professional Development Expectations
  • Demonstrate initiative in learning all companies' operations, services, processes, and procedures.
  • Demonstrate adaptability and willingness to take on additional responsibilities as business needs evolve.
  • Maintain a positive, professional, and team-oriented attitude.
  • All other duties as assigned.
Qualifications
  • Previous administrative, customer service, reception, scheduling, or executive assistant experience required.
  • Strong verbal and written communications skills with demonstrated high level of professionalism and ability to interact with people at various levels within the organization.
  • Highly organized with exceptional attention to detail, time management, and follow through.
  • Proven ability to manage multiple priorities, adapt to changing demands, and perform effectively under tight deadlines.
  • Ability to maintain professionalism, confidentiality, and discretion when handling sensitive information.
  • Proficiency with Microsoft Office, Google Applications, email, basic computer applications, and comfort learning internal systems and tools.
  • Experience managing calendars, scheduling meetings, and coordinating communications.
  • Ability to work independently while also collaborating effectively with leadership and team members.
