Position Summary:โฏโฏ
The Community Program Coordinator plays a key role in supporting the planning, tracking, and communication of The Recycling Partnershipโs community-based grant and project work. This highly collaborative role supports project management, cross-team coordination, grantee communication, and ongoing reporting across a range of initiatives.
The Community Program Coordinator also supports the Development team with grant administration, project development, and assists in monitoring project performance and outcomes. This position provides stakeholder communication, research, and administrative support, contributing to community grantmaking and consulting program delivery. This role requires strong organizational skills, attention to detail, and a willingness to learn and grow in a dynamic, impact-driven environment.
WhatโฏYouโllโฏDo:โฏ
Project Coordination and Communication
- Monitor project budgets, timelines, and deliverables to ensure effective cross-team coordination.
- Manage regular reports and updates for funders, and internal/external stakeholders.
- Maintain organized project documentation and communication channels to support efficient project delivery.
Grant Administration and Development Support
- Assist with grant tracking and documentation using tools such as Notion and Airtable.
- Partner with the Development team to monitor contracts and identify potential grant and consulting opportunities.
- Learn and apply the fundamentals of grant development to help shape community project proposals.
- Support the submission of proposals to communities and funders to secure mission-aligned projects.
Program Support
- Maintain cumulative reports and track key implementation dates and project milestones.
- Collaborate with the Data and Analytics and MarCom teams to ensure accurate reporting and timely updates.
- Provide the requested project information to the team.
- Support the development and tracking of project proposals and outreach materials.
Grantee Engagement
- Communicate with grantees post-implementation to collect annual reports and verify HubSpot setup.
- Monitor ongoing program compliance and provide support to promote community success.
Research and Administrative Support
- Conduct research to support project planning, including multifamily housing and roadmap development.
- Monitor shared inboxes, HubSpot inquiries, Request-for-Proposal (RFP) updates and assist with coordinating team meetings and events.
- Track relevant news and community announcements to support outreach and planning efforts.
- Support the team with navigating internal processes like finance, vendor setup, grant mapping, data tracking, and research processes.
Required Skills & Qualifications:โฏ
- 1-3 years of experience in project coordination, grant administration, program support, or a related field
- Strong written and verbal communication skills
- Excellent time management and organizational skills, with the ability to manage multiple priorities
- Detail-oriented and process-driven, with a focus on accuracy and consistency
- Ability to work both independently and collaboratively across teams
- Strong relationship management skills and commitment to supporting grantees and partners
- Proficiency in Microsoft Office Suite and willingness to learn new tools (e.g., Notion, Airtable, HubSpot)
