Position Summary
The Program Coordinator is responsible for planning, coordinating, and delivering high-quality youth programming within a designated Club site or program area. This position supports the development of youth through structured activities, relationship building, and engaging program experiences that align with Boys & Girls Club priority outcomes.
Working closely with leadership, staff, youth, families, and community partners, the Program Coordinator helps ensure programming is organized, developmentally appropriate, safe, and responsive to the needs of participants. This role may also support grant-funded initiatives, community-based programming, and special projects that contribute to the overall mission and growth of the organization.
This position is designed to support direct youth engagement, program quality, and operational consistency and may evolve in scope as organizational priorities and funding opportunities expand.
Essential Functions
1. Program Planning & Implementation
a. Plan, coordinate, and deliver a broad range of youth programming within designated Club areas, including but not limited to education, social-emotional wellness, character and leadership development, health, recreation, and life skills.
b. Develop and maintain weekly or monthly program plans and activity schedules that are clearly communicated to staff, youth, and families.
c. Develop and implement age-appropriate activities that support positive youth development and align with organizational goals and priority outcomes
d. Assist in establishing program objectives and ensuring activities are consistent with the mission of the Boys & Girls Club
e. Continuously evaluate and adjust programming to respond to member interests, participation, and developmental needs
2. Grant Programming & Administrative Support
a. Coordinate assigned grant-funded programming, including recruitment, outreach, implementation, documentation, and reporting
b. Support required administrative duties tied to grant or program funding, including record keeping, data collection, attendance tracking, and outcome reporting
c. Maintain accurate and timely data entry in designated systems (e.g., membership tracking, attendance, and program outcomes) to support reporting, grant compliance, and organizational decision-making.
d. Attend required trainings, meetings, and professional development opportunities related to assigned programs or funding requirements
e. Ensure program activities and documentation are completed in alignment with organizational, grant, and compliance expectations
3. Youth Engagement & Development
a. Build positive relationships with youth and create an environment that is safe, welcoming, inclusive, and supportive
b. Encourage members to participate in a variety of activities and provide instruction, feedback, and support to help them build confidence and skills
c. Exercise leadership to ensure safety, guidance, and positive behavior management practices are consistently upheld
d. Implement behavior management strategies consistent with organizational policies, focusing on guidance, consistency, and positive youth development practices.
e. Support youth involvement in leadership opportunities, community engagement, and activities that strengthen belonging and personal growth
f. Serve as a positive role model and maintain professional boundaries while building supportive relationships with youth
4. Community Engagement & Events
a. Facilitate youth-led community events and activities, including participant recruitment, event planning support, and coordination with partners
b. Maintain communication with families, community partners, and Tribal leadership as needed to support programming and event success
c. Represent the Club through outreach efforts, community events, and special activities that strengthen visibility and community connection
d. Participate in planning and implementing Club special events and other organization-wide initiatives
e. Assist with coordination and supervision of field trips, transportation, and off-site programming as needed.
5. Program Operations, Safety, & Reporting
a. Ensure program spaces are safe, organized, well maintained, and appropriate for youth participation
b. Monitor equipment, supplies, and materials and communicate needs related to repairs, maintenance, or replacement
c. Maintain accurate records of activities, participation, achievements, and challenges within assigned programs
d. Support ongoing evaluation of programming and ensure activities are responsive to member needs, including gender and cultural diversity
e. Advise leadership of program needs, operational concerns, and opportunities for improvement
6. Organizational Contribution & Communication
a. Participate in staff meetings, trainings, and organizational planning efforts
b. Collaborate with program staff, coordinators, and leadership to ensure alignment across programming areas and consistency in youth experience
c. Maintain consistent and professional communication with staff, youth, families, and partners
d. Maintain appropriate and professional communication with families regarding programming, activities, and youth participation.
e. Work a flexible schedule, including evenings and weekends, to meet program and organizational needs
f. Perform other duties as assigned to support the mission, strategic priorities, and evolving needs of the organization
