We build high-quality homes with a focus on exceptional craftsmanship, efficient processes, transparent communication, and an outstanding customer experience. Our team is collaborative, accountable, and committed to delivering homes that exceed expectations while continuing to grow as one of Central Virginia's premier homebuilders.


We are seeking a dependable, organized, and personable Office Manager to help keep our day-to-day office operations running smoothly. This is a hands-on, in-office administrative and front-office position for someone who enjoys being the go-to person, supporting others, maintaining organization, and taking ownership of the many details that keep a busy office functioning effectively.


The Office Manager will serve as a primary point of contact for visitors, customers, vendors, and general inquiries while providing administrative and coordination support across the company. The ideal candidate is friendly, professional, detail-oriented, and comfortable balancing a wide variety of responsibilities in a growing organization.


Key Responsibilities
  • Serve as the primary point of contact for visitors, customers, vendors, and general office inquiries.
  • Greet visitors and direct them to the appropriate team member or department.
  • Answer, screen, and route incoming calls and communications professionally.
  • Receive and distribute mail, packages, deliveries, and other incoming items.
  • Maintain a professional, organized, and welcoming front-office environment.
  • Manage office supplies, inventory, equipment, and other general office needs.
  • Monitor supply levels and coordinate ordering or replenishment as needed.
  • Maintain organized filing systems, company records, shared documents, and office resources.
  • Coordinate meetings, schedules, calendars, and general administrative logistics.
  • Assist with administrative onboarding and office setup for new employees.
  • Help plan and coordinate company events, meetings, and office activities.
  • Assist with vendor documentation, licensing, certifications, compliance records, and other administrative requirements.
  • Maintain and organize customer-facing materials, signage, floorplans, printed materials, and digital assets.
  • Update marketing materials, listings, documents, and customer-facing information as directed.
  • Maintain organized image libraries, shared files, and digital resources.
  • Assist with basic updates to website listings and other marketing materials.
  • Coordinate with outsourced marketing vendors to provide information, materials, and follow-up when needed.
  • Provide administrative and organizational support to the sales, design, purchasing, estimating, drafting, production, and leadership teams.
  • Help maintain consistency across shared company processes, documents, resources, and administrative workflows.
  • Identify office needs proactively and take appropriate action to keep daily operations running smoothly.
  • Take on additional administrative and coordination responsibilities as the company and position continue to evolve.
Qualifications
  • 2+ years of office administration, office management, reception, or office coordination experience preferred.
  • Friendly, professional, and comfortable serving as a first point of contact for customers, visitors, and vendors.
  • Strong organizational and multitasking abilities.
  • Excellent attention to detail, accuracy, and follow-through.
  • Strong written and verbal communication skills.
  • Ability to manage recurring administrative responsibilities consistently and efficiently.
  • Comfortable handling a broad range of office and administrative support tasks.
  • Proficiency with Microsoft Office, Google Workspace, email, document-management systems, and digital organization tools.
  • Experience with Canva is preferred.
  • Ability to maintain organized records, shared files, calendars, and administrative resources.
  • Positive, adaptable, and team-oriented approach.
  • Willingness to take initiative and assist wherever needed.
  • Ability to handle company, employee, and customer information with professionalism and discretion.
  • Employment may be contingent upon successful completion of a background check, consistent with applicable law.
Pay and Benefits
  • Full-time, W-2 position
  • Salary: $60,000 to $65,000 per year, based on experience
  • Health insurance -- company pays 50% of the employee premium; eligible after 30 days, with coverage beginning the first day of the following month
  • Dental insurance available at the employee's request
  • Simple IRA retirement plan with company match up to 3% -- eligible after 90 days
  • Two weeks--10 days--of Paid Time Off after 90 days
  • 11 paid holidays
  • Schedule: Full-time, Monday-Friday
  • This is an in-office position based in Henrico, Virginia

Vertical Builders is entering an exciting stage of growth, with plans to scale from approximately 50 homes per year toward 100 homes in the coming years. As our Office Manager, you will play an important role in supporting that growth by keeping the office organized, helping departments work together efficiently, and ensuring that customers, vendors, visitors, and team members receive professional and responsive support.


This position works closely with the Client Experience & Operations Lead, President, Sales & Design Manager, Production Manager, Purchasing and Estimation team, Drafting team, and other departments across the company.
