Job Description

Overview:

The Operations Coordinator supports and coordinates administrative support, Newstar support and Buildpro/Supplypro scheduling for Construction and Production teams across the Alberta market. Pre-construction actions, construction prep and scheduling is completed by The Operations Coordinator or indirectly through training and coaching of team members (Admin & Construction). Through daily use of Brookfield's operational IT systems the Operations Coordinator is expected to identify opportunities for improvement in system and related department process.

The role involves liaising between office teams and construction site teams & trade partners. General responsibilities also include minor coordination of permits, Alberta New Home Warranty, Enmax and ATCO applications, job releases and reporting on external operations functions.


Key Responsibilities:

  • Support & coordinate the transition of back office permits through to starts in the field.

  • Provide job start notifications to trade partners and site team members.

  • Complete weekly starts forecasts.

  • Coordinate Permit submissions.

  • Own document upload verification for Alberta.

  • Enter preconstruction forecast in Buildpro & Newstar.

  • Complete job release packages in Calgary & Edmonton, including preparing the site package, utility registrations, ordering required address plaques, and ordering door banners.

  • Coordinate Engineering verifications for permits.

  • Build & maintain strong relationships with trade partners and suppliers.

  • Plan regular trade updates, gather input and draft communications to trade partner.

  • Coordinate utility submissions.

  • Complete job schedules and quarterly & annual closing forecasts.

  • Oversee new trade partners SupplyPro Set up. Monitor trade partner's challenges and lead regular training programs, as needed.

  • Order bulk office supplies and disposables needed for site teams.

  • Support site teams by Issuing EPOs through Buildpro.

  • Audit job schedules for compliance with scheduling & clean and ready best practices.

  • Enter all job schedules into Buildpro, including the update of closing information.

  • In coordination with Construction Managers complete Construction Burdens & SF Site Burdens, monthly.

  • Complete build time reporting and identify primary delays and bottlenecks.

  • Plan responsibilities & tasks required to support AB operations through Newstar, Buildpro, & Construction support.

  • Identify process gaps related to construction schedules, production schedules and Buildpro/Newstar system. Coordinate solutions with related departments.

  • Plan and problem solve with team members to overcome daily challenges

  • Support the continuous improvement of processes and deliverables within the team.

  • Ensure service and product delivery is of high quality and within established deadlines.

  • Identify Buildpro & Newstar process improvements.

  • Identify areas for AB alignment and work with Departmental managers to implement best practices province wide.

  • Work with IT teams to create and / or automate reports.

  • Provide suggestions and coordinate improvements to reporting and process.

  • Fleet Management for Homes Operations team.

  • Support and coordinate various projects and administrative duties within and across departments, as required.


What You'll Bring:

  • 1-3+ years of Administrative experience.

  • Construction or Warranty industry experience is an asset.

  • Exceptional customer service and communication skills.

  • Excellent computer skills & Knowledge of Buildpro/Supplypro and Newstar systems.

  • Experience building schedules in a fast paced environment.

  • Strong organizational and time management skills, attention to detail and commitment to deadlines.
