Job Description
WHAT YOU'LL DO
We are seeking an experienced and highly organized Executive Assistant to provide comprehensive administrative support to our Chief Executive Officer (CEO). The ideal candidate will possess excellent organizational skills, discretion, and the ability to manage a wide range of responsibilities, including handling sensitive and confidential information and working with teams globally.
DAY-TO-DAY RESPONSIBILITIES
Administrative Support:
  • Manage the CEO's calendar, scheduling meetings, appointments, and travel arrangements.
  • Prioritize and screen incoming communications, including emails, phone calls, and other correspondence.
  • Prepare and edit documents, presentations, and reports on behalf of the CEO.

Meeting Coordination:
  • Organize and coordinate meetings, including agenda preparation, meeting materials, and follow-up actions.
  • Attend and record minutes during key meetings as requested.
  • Ensure meeting logistics and technology are well arranged.

Data and Information Management:
  • Maintain and update confidential files, records, and company documents.
  • Manage the CEO's vendor list, budget, ensuring accurate and up-to-date information.
  • Handle confidential and sensitive information with discretion.

Communication and Correspondence:
  • Act as a primary point of contact for internal and external stakeholders, including executives, board members and external partners.
  • Draft and proofread emails, reports, and other written communication on behalf of the CEO. Add graphic elements to enhance marketing and professionalism.

Company Initiative Support:
  • Assist in strategic initiatives and company projects as directed by the CEO.
  • Collaborate with leadership team members to support company goals.

Event Planning:
  • Assist team members with planning company-wide events, product launches, board meetings, etc.
  • Arrange logistics, catering, and materials as needed.

Budget Management:
  • Assist in tracking and managing budgetary items, including expenses and cost approvals.
  • Maintain financial records and reports for company expenditures.

Qualifications
WHAT WE ARE LOOKING FOR
MUST HAVES:
  • Bachelor's degree in business administration or a related field preferred.
  • 5+ years executive assistant experience supporting C-level leaders.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Strong customer service skills.
  • Proficiency in office software and communication tools.
  • Discretion and ability to maintain strict confidentiality.
  • Attention to detail and problem-solving abilities.
  • Ability to work independently and manage competing priorities.
  • Ability to be nimble and flexible to shift focus as needs arise.

Salary Range: $90-105K
Location: Hybrid (on-site Tuesday, Wednesday, Thursday)
