Job description

Title: Legal Administrative Specialist
Location: Washington, DC | Hybrid with regular onsite support required
Schedule: Full-time, Monday-Friday, during GSA core business hours
Pay: $39.23-$44.32/hour
KMRG, LLC (KMRG) is a federal services company that hires talented professionals to support Government agencies and the communities they serve. We are hiring a Legal Administrative Specialist to join our team and provide l to the U.S. General Services Administration (GSA), Office of General Counsel (OGC).
In this role, you will support GSA attorneys and legal staff with front office operations, scheduling, correspondence, document preparation, case and records management, legal filings, review tracking, data entry, and other litigation-support activities.
This position is a strong fit for an experienced federal litigation-support professional who is accurate, organized, discreet with sensitive information, and comfortable managing multiple deadlines in a legal office environment.

RESPONSIBILITIES
Front Office & Administrative Support
  • Greet visitors, control office access, and follow Government visitor-management and security procedures
  • Answer and route telephone inquiries, receive messages, and direct callers or visitors to appropriate OGC personnel
  • Provide routine or procedural office information only as authorized and follow Government-provided routing procedures
  • Maintain a professional front office environment and protect sensitive information from unauthorized disclosure
  • Receive, review, time stamp, sort, route, and distribute incoming mail, correspondence, and faxes
  • Prepare, collect, and dispatch outgoing mail and coordinate approved local courier services when needed
  • Support general clerical and administrative activities assigned within the scope of the OGC requirement
  • Provide responsive customer service to attorneys, staff, visitors, and other authorized stakeholders
Scheduling, Travel & Timekeeping Support
  • Maintain attorney calendars and schedule appointments, meetings, conferences, and conference calls
  • Maintain suspense lists, reminders, meeting details, room reservations, and schedule changes
  • Prepare meeting rooms and conference materials and reschedule appointments when necessary
  • Arrange official travel and lodging for OGC staff, make cost comparisons, and secure required pre-travel approvals
  • Input travel vouchers in ConcurGov or another Government-designated travel system, as directed
  • Serve as timekeeper, when assigned, and enter time and leave information in HR Links or another designated system
Legal Documents & Correspondence
  • Prepare routine correspondence, non-technical legal documents, reports, and other materials with limited supervision
  • Use Microsoft Office, Google Workspace, Adobe Acrobat or Foxit, and other Government-designated software
  • Produce, edit, format, store, retrieve, and print documents from drafts, edited copy, or electronic files
  • Prepare final-form correspondence with accurate grammar, spelling, punctuation, pagination, and formatting
  • Review briefs, memoranda, pleadings, exhibits, attachments, and other documents for proper format and completeness
  • Prepare complex documents containing tables, charts, special symbols, authorities, and other structured material
Files, Records & Case Support
  • Establish and maintain physical and electronic case files, legal subject files, correspondence, and related records
  • Cross-reference files, add new materials, revise file organization, and maintain records under applicable office file plans
  • Search for and retrieve files, track case disposition, and identify records for purge or other directed disposition
  • Safeguard legal files and records from loss, unauthorized access, or disclosure
  • Dispose of sensitive materials in accordance with Government procedures
  • Support accurate and timely case, workload, litigation, and records tracking
Legal Filings & Review Tracking
  • Prepare and assemble documents, transmittals, envelopes, and related materials for filing, submission, mailing, or service
  • Format filings in accordance with applicable court, board, commission, agency, or other procedural requirements
  • Support timely filing or submission to federal courts, boards of contract appeals, GAO, DOJ, and other entities as directed
  • Maintain documentation showing that pleadings or other materials were filed, served, lodged, or otherwise submitted
  • Circulate sensitive correspondence, legislative items, executive orders, and other matters requiring legal review
  • Track legal review items in Government-designated applications and communicate status to authorized requesters
Legal Research, Data Entry & Reporting
  • Search, assemble, and summarize information from authorized legal and Government sources, as directed
  • Use LexisNexis, Westlaw, GSA databases, OGC databases, shared drives, and other approved resources when applicable
  • Maintain and organize legal publications, reference materials, subscriptions, manuals, and related resources
  • Enter and update budget, timesheet, leave, travel, training, workload, litigation-case, and other organizational data
  • Prepare recurring statistical, workload, and managerial reports using tracked information
  • Maintain accurate records and protect reference materials, documents, and files from unauthorized disclosure
Document Reproduction, Office & Optional FOIA Support
  • Coordinate copying, printing, scanning, reproduction, and assembly of legal documents, litigation materials, and reports
  • Prepare document packages for review, filing, mailing, service, or distribution and verify completeness and legibility
  • Support printers, scanners, copiers, shredding, office supplies, inventory, and equipment service requests
  • Assist with simple and complex FOIA requests if the Government exercises the optional FOIA support requirement
  • Support FOIA intake, routing, records gathering, correspondence, file maintenance, tracking, reporting, and redaction preparation
  • Review FOIA search results, prepare draft responses/redactions for Gov review, and safeguard FOIA-related information
  • Perform other legal administrative and litigation-support duties within the scope of the position
  • Maintain accuracy, timeliness, confidentiality, and professionalism in accordance with GSA procedures

REQUIRED BACKGROUND
  • Minimum of 3 years of federal litigation support experience
  • Demonstrated experience providing legal administrative or litigation support in a federal environment
  • Experience with document management, case file organization, records support, and legal document production
  • Experience supporting court, board, commission, agency, or other administrative filings
  • Experience proofreading, formatting, preparing, and tracking legal documents and correspondence
  • Experience handling sensitive, confidential, privileged, proprietary, or non-public legal information
  • Working knowledge of Microsoft Office Suite, including Word and PowerPoint
  • Working knowledge of Google Suite / Google Workspace, Adobe Acrobat DC or Foxit Phantom, and internet-based tools
  • Clear oral and written communication, strong attention to detail, and accurate data-entry skills
  • Ability to manage multiple tasks, deadlines, priorities, and changing administrative requirements

LOCATION
  • Primary place of performance is 1800 F Street NW, Washington, DC 20405
  • Regular onsite support is required
  • Government-authorized telework is available as part of the hybrid work arrangement

TRAVEL
  • Travel is not anticipated for this requirement
