Job description

General Purpose: The AR Billing Supervisor role is responsible for processes within the accounts receivable function including but not limited to invoicing customers, applying payments, monitoring account balances, and supporting the internal project team with customer billing and collection related matters. This role also includes communicating with customers to ensure timely and accurate payment processing.Essential Duties and Responsibilities:Prepare and issue customer invoices based on job progress, contracts, or service completionMaintain accurate billing records within the Company ERP systemApply customer payments (ACH, check, wire, credit card) to appropriate accountsMonitor accounts receivable aging and follow up on outstanding balancesCommunicate with customers regarding billing discrepancies or past due accountsWork closely with project managers and operations personnel to resolve billing issuesReconcile customer accounts and investigate discrepancies as neededAssist with monthly billing cycles and reportingGenerate and distribute customer statementsSupport collections efforts while maintaining positive customer relationshipsMaintain documentation related to customer billing and payment activityAssist with lien waivers or other project-related billing documentation as requiredPerform other duties as required to support the Accounting Department as well as other business departmentsExperience with Viewpoint Vista or similar construction ERP systems preferred Strong proficiency in Microsoft Excel (pivot tables, lookups, data analysis)Strong analytical and problem-solving skills with high attention to detail Ability to manage multiple priorities and meet deadlines in a fast-paced environment Effective communication skills, with the ability to explain financial concepts to non-financial personnel Strong organizational skills and ability to maintain accurate and detailed records Ability to work independently and collaboratively across departments High level of integrity and professionalism in handling confidential informationSupervisory ResponsibilitiesMay supervise and provide direction to accounting or job cost staffResponsible for coaching, training, and performance management of assigned team membersWork Environment & Physical DemandsThis position is primarily based in an office environmentOccasionally may require visits to job sites, which may involve exposure to outdoor environmentsAbility to sit for extended periods and work on a computerQualifications: Associates degree in Business, Accounting or related field is preferred, but not required.1 to 2 years of accounting data entry or accounts receivable experience.Computer skills required – Microsoft Office Suite (Excel, Word, Outlook).Working knowledge of computerized accounting systems that utilize a job costing moduleConstruction industry experience a plus, but not requiredAbility to work alone or in a team settingExcellent communication skills
