Position Summary
The Account Management & Collections Specialist keeps account setup, reopens, and collections activity accurate and current. Working closely with Sales and Accounting, you'll process new account setups, MSO and acquisition onboarding, and account reopens - typically 10-15 requests a day - all while protecting cash flow, clean records, and good customer experience.
This is a hybrid role: part account setup and system administration, part collections. You'll need to move fluidly between the two, prioritizing what's due each day without letting either side slip.
What you'll do
Account setup & onboarding
- Handle account creation, following SOP to ensure all required information is entered accurately into the system.
- Ensure timely setup of MSO (multi-shop operator) and acquisition accounts, communicating rebill needs or new-account setup as required.
- Collect any missing tax documents or licenses from customers via JotForm.
- Review and gather paperwork where a sales agent has missed required documentation.
- Support onboarding and account needs for MSO, Wheels, and Growth Customer accounts.
Reopens & collections
- Manage the daily reopen process: address and resolve outstanding accounting requests so records are current before an account is reopened.
- Balance active collections work and reopen processing against new account setups - typical daily volume runs 10-15 requests, including reopens.
- Communicate directly with customers on account setups and outstanding items, escalating to the Collections A/R Lead when needed.
Account maintenance & system management
- Close accounts, remove RFID tags, and update account status to DNU (Do Not Use) or No Sell as needed.
- Merge duplicate or related accounts across multiple systems, including Pinn, Fuse, Striven, NetSuite, and Powerlink.
What you'll bring
- 2+ years of data entry experience, with strong working knowledge of our operations systems, CRM, and SharePoint processes.
- Excel proficiency, including VLOOKUP, PivotTables, and sort/filter functions.
- Strong attention to detail and organizational skills - this role handles 10-15 account actions a day and accuracy matters on every one.
- Excellent communication and problem-solving abilities.
- Ability to multitask and prioritize across setups, reopens, and collections in a fast-paced environment with daily deadlines.
Nice-to-haves
- Previous experience in sales, collision, collections, or portfolio management.
- Knowledge of account management processes and order collections.
