The Practice Manager oversees the day-to-day operations of a veterinary practice, ensuring efficient and high-quality care for patients, delivering outstanding service to clients, and maintaining smooth business operations. This role involves managing the administrative, financial, and human resources functions of the practice while working closely with veterinarians and staff to maintain a positive, productive work environment. A strong focus on growth, operational excellence, and exceeding financial and operational goals are key to success in this role.

Key Responsibilities:

Staff Management:

  • Supervise and lead all practice staff, including veterinary technicians, receptionists, and support staff.

  • Responsible forstaff recruitment,record-keeping, onboarding, training, and performance management.

  • Develop andoptimizestaff schedules that align with patient needs to ensure adequate coverage and remainwithinlabor cost budgets.

  • Foster a positive, collaborative work environment where everyone feels valued, supported, and empowered to do their best.

  • Acts as a championfornew initiativesbymotivating the teamto achievedesiredgoals.

Financial Management:

  • Overseethe practice's financial operations, including budgeting,billingandexpense managementby regularly reviewing reports anddeveloping action plans accordingly.

  • Collaboratewithkey partnerstoset financialgoalsandensurethey'reachieved.

  • Ensureaccurateandtimelybillingand payments andmonitoraccounts receivables and collection processes.

Client Relations:

  • Lead andcoachthe team tobuildmeaningful connections with clients byproviding exceptional customer service thatexceeds theirexpectations.

  • Monitor client reviews to address inquiriesand feedbackpromptly and professionally.

  • Utilize tools and quality controls tomaintaina high standard of patient care and client communication.

Operations Management:

  • Ensure the smoothoperation of daily activities, including inventory management, scheduling, office supplies,andequipment maintenance.

  • Implement and refine practice policies and procedures to improve efficiency and effectiveness.

Marketing, Business Development, and Community Relations

  • Executemarketing strategies to attract new clients andretaincurrent ones.

  • Oversee social media, website content, and other marketing materials.

  • Expand the hospital's presence in the community through events, promotions, and outreach programs.

Compliance & Regulatory Adherence:

  • Ensurecompliance withall relevant veterinaryregulatory agencies andhealth, safety, and labor lawsare followed daily in practice.

  • Oversee the practice's record-keeping and client/patient databases to ensure accuracy andconfidentiality.

  • Ensure the practicecomplies withOSHA requirements related to workplace safety, including the handling of hazardous materials and properwaste disposal.

  • Maintain up-to-date knowledge of industryregulations andtrends and implement necessary changes in practice procedures.

Technology & Software Management:

  • Trainstaff to effectivelyutilizepractice technology and partner with the IT support team to triage and address needs within thepractice.

Qualifications:

  • Minimum of 3-5 years of experience in a managerial role, preferably in a veterinary practice or healthcare setting.

  • CVPM, CVBLand/or abachelor'sdegreeinhealthcare administrationor other relevantareasarepreferred but notrequired.

  • Demonstrated experienceinP&L management and financial analysisis preferred.

Working Conditions:

  • Full-time position with the possibility of evening and/or weekend hours based ontheclientand patient needs of the practice.

  • Mustbe able to work in a fast-paced, dynamic environment.

  • Occasional lifting and physical tasks may berequired.
