Job description

We are seeking a highly organized, detail-oriented Administrative Assistant to support our Warehouse Team. This role serves as a key resource for site leadership and cross-functional departments, helping to ensure efficient communication, accurate reporting, and smooth day-to-day operations. The ideal candidate will thrive in a fast-paced warehouse environment, possess strong administrative and organizational skills, and enjoy supporting employees at all levels of the organization.
Key Responsibilities
  • Coordinate activities for the office and warehouse to ensure efficiency and maintain compliance with company policies
  • Process and reconcile monthly company credit card expenses ensuring proper documentation and coding.
  • Assist Warehouse with freight invoice management
  • Create and convert purchase orders and purchase requisitions based on business needs
  • Liaison with building landlord and all site vendors
  • Participate in the facilities Safety program
  • Solicit and provide ideas for the elimination of waste, continuous improvement and defect prevention
  • Assist all departments with the general administrative functions, which can include but not limited to, food ordering, meeting set up, activity set up and document retention
  • Manages and promotes site Employee Engagement, Community Service, and Employee Recognition Programs.
  • Ensures accurate and timely preparation, receipt and distribution of correspondence, reports, forms, presentations, and other documents as requested.
  • Maintain organized processes to ensure timely task completion and communication
  • Keeping an inventory of office supplies and ordering as needed
  • May sign for incoming and outgoing packages and route to appropriate party
  • May perform filing, typing and other administrative duties as requested
  • Additional support activities as assigned
  • Maintain employee access badge system ensuring that only those authorized have access.
  • Responsible for all site-owned IT responsibilities
  • Support the off-site Human Resources team by facilitating day-to-day administrative HR activities such as but not limited to, scanning of documents, password resets, new employee orientation, answer basic employee questions.
  • Other duties as assigned.

Qualifications
  • High school diploma or equivalent.
  • 3-5 years of corporate administrative experience.
  • Superior attention to detail.
  • Highly proficient in Microsoft Office Suite, Outlook, Adobe Acrobat, and some proficiency in Visio.
  • Excellent verbal and written communication skills.
  • Clear and professional telephone skills.
  • Ability to consistently multi-task.
  • Ability to handle and manage changing priorities.
