Job Title: Regulatory Compliance & Licensing Administrator
Role Overview
We are seeking a Regulatory Compliance & Licensing Administrator to manage our organization's multi-jurisdictional licensing portfolio. You will act as the primary liaison between our business entities and various state, county, and municipal regulatory agencies. This role is responsible for ensuring that all business operations maintain perfect standing by researching local codes, managing complex application cycles, and proactively monitoring for regulatory changes.
This is a detail-oriented role for an administrative professional who enjoys the challenge of "deciphering the rules." You will own the full application lifecycle-from initial research and paperwork preparation to bond/insurance coordination and background/credential processing. If you have a high level of integrity, strong organizational skills, and the ability to navigate ambiguous regulatory landscapes, we want to hear from you.
Key Responsibilities
Licensing & Compliance Management
โ€ข Application Lifecycle: Manage the end-to-end application process for all state and local business licenses. Oversee the preparation, submission, and follow-through until issuance.
โ€ข Research & Interpretation: Research and interpret complex state and local codes. Monitor for legislative or regulatory revisions that impact business standing and proactively communicate these changes to leadership.
โ€ข Liaison & Advocacy: Serve as the primary point of contact for governing agencies and regulators. Troubleshoot and resolve compliance concerns through direct communication with government representatives.
Operations & Documentation
โ€ข Documentation Stewardship: Maintain meticulous files for all licensing-related documentation, including insurance certificates, bonds, W9s, and individual background/credentialing records.
โ€ข Cross-Functional Support: Coordinate with Legal Counsel, Operations, and Accounts Payable to ensure all financial and legal requirements for licensure (fees, background checks, corporate filings) are met with urgency.
โ€ข Vendor & Project Support: Support business registration requirements for new vendors and assist on special compliance-driven projects as requested.
Qualifications & Requirements
Minimum Qualifications
โ€ข Education: Minimum of 4 years of combined higher education and/or applicable work experience. (Associate's degree or Paralegal certification is highly preferred).
โ€ข Experience Baseline: 2+ years of professional experience in licensing, regulatory compliance, or a related administrative field.
โ€ข Professional Standards: Unwavering integrity; demonstrated ability to handle sensitive personal and business information with complete confidentiality.
โ€ข Technical Proficiency: High level of comfort with Microsoft Office and standard office administrative platforms.
Preferred Attributes
โ€ข Strong "detective" mindset-you enjoy researching local laws and interpreting how they apply to business operations.
โ€ข Action-oriented and capable of thriving in ambiguous environments where processes may vary by municipality.
โ€ข Excellent writing skills, particularly for correspondence with government officials.
