About the Role

Closed Loop Partners is looking for a highly organized Office Manager to support the NYC-based team to ensure smooth operations. The Office Manager will be seated at the reception desk and thus will often be the first team member guests and stakeholders engage with at the firm, and will also support management with select administrative duties. This is a unique opportunity to be an integral player of a multi-business firm in impact investment, innovation consulting, and operations, managing the day-to-day activity of a busy office.

This is Part-Time, in-person role in our office in midtown Manhattan. This role is not eligible for company benefits (unless required by law).

Schedule

  • Monday – Thursday: 8:30 am – 3:00 pm
  • Friday: 8:30 am – 2:00 pm

Responsibilities

  • Manage, assure, and optimize an efficient and effective office environment of 40+ team members and an active ecosystem of visitors
  • Provide general administrative support, including scheduling multiple stakeholder meetings, room preparation, and technology support for conference rooms
  • Manage the general front desk activity, including registering, welcoming and directing office visitors and handling a small volume of phone calls
  • Organize and maintain kitchen and copy rooms, including ordering supplies
  • Manage office rearrangements for team meetings and events
  • Occasionally plan travel itineraries, both domestic and international
  • Assist in preparing expense reimbursements
  • Act as main point of contact for building management, initiating and managing cleaning, maintenance, and work requests
  • Coordinate catering orders (off-site and in-office)
  • Participate in special projects as needed

Qualifications

  • 2+ years of administrative experience in a fast-paced dynamic organization; experience within a financial, investment, or consulting environment is a plus but not required
  • Professional demeanor and excellent interpersonal skills
  • Exceptional communication skills, problem solving, organization, attention to detail and thoroughness
  • A self-starter who can take direction and execute efficiently while multi-tasking
  • Ability to exercise discretion and maintain confidentiality
  • Genuine, personal interest in sustainability and the natural environment
  • Proficiency in Microsoft Office Suite
