Job Description: Case Manager + Administrative Assistant - Fargo Region


Position Summary:

The Case Manager + Administrative Assistant serves in a dual-role position focused on providing compassionate client care while supporting the daily administrative operations of Alliance Women's Clinic in the Fargo Region.

This position serves as both a frontline patient advocate and a primary administrative support team member. The Case Manager + Administrative Assistant assists women facing unplanned pregnancies and other challenging circumstances by providing peer counseling, client support, resource referrals, and ongoing case management. At the same time, this individual serves as a key point of contact for patients through phone calls, appointment scheduling, electronic communication, and front desk responsibilities.

The Case Manager + Administrative Assistant plays a vital role in creating a welcoming, professional, and compassionate environment for women and families while helping ensure efficient clinic operations. This position works closely with medical staff, leadership, volunteers, churches, and community partners to help clients receive the support and services they need.

The Case Manager + Administrative Assistant is expected to demonstrate professionalism, strong communication skills, organizational excellence, compassion, adaptability, and alignment with the mission and values of Alliance Family Services.

Qualifications:

1. Fully agrees with and is willing to uphold the Statement of Faith, Statement of Principle, Biblical Code of Conduct, Commitment of Care, Bylaws, and Policies + Procedures of Alliance Family Services.

2. Demonstrates a clear understanding of and commitment to the sanctity of human life and the mission of Alliance Family Services.

3. Exhibits strong interpersonal communication skills anddemonstrates the ability to interact professionally with patients, staff, volunteers, churches, community partners, and the public.

4. Strong organizational skills and attention to detail.

5. Ability to manage multiple responsibilities and priorities in a fast-paced environment.

6. Ability tomaintain confidentiality and professionalism in sensitive situations. 7. Demonstrates initiative, adaptability, sound judgment, and a positive team-oriented attitude.

8. Proficiency with office software, scheduling systems, email, and standard administrative tools preferred.

9. Experience in client services, case management, administrative support, customer service, ministry, healthcare, or related fields preferred.

10. High school diploma or equivalent required; additional education or relevant certifications preferred.

Responsibilities:

Client Services & Case Management

  • Provide peer counseling, options counseling, education, encouragement, and support for clients.
    Develop and assist with implementing individualized case plans for clients as appropriate.
    Connect clients with community resources, churches, support programs, and other referral services.
    Assist clients in addressing physical, emotional, practical, and spiritual needs as appropriate.
    Maintain
    accurate and timely documentation and charting for all client interactions.
    Assist with client follow-up, appointment coordination, and ongoing support services.
    Help develop and maintain referral resources and educational materials for client use.
    Assist with classes, support programs, mentoring initiatives, and client service projects as assigned.


Patient Relations & Front Desk Operations

  • Answer phones and assist patients in a professional, compassionate, and timely manner.
    Schedule appointments and assist with patient communication and follow-up.
    Welcome patients and visitors to the clinic and provide a positive first impression of Alliance Women's Clinic.
    Assist patients with forms, check-in procedures, and general questions.
    Help ensure every patient interaction reflects the mission, values, and professionalism of Alliance Family Services.


Administrative Support

  • Complete administrative and clerical tasks related to clinic operations.
    Maintain
    accurate records, documentation, databases, and organizational systems.
    Assist leadership, medical personnel, and support staff with administrative needs and operational projects.
    Assist with inventory management, supply organization, and office coordination.
    Support communication efforts, scheduling coordination, and operational initiatives throughout the region.
    Assist with data entry, reporting, and documentation requirements as assigned.


Community Engagement

  • Help maintain positive working relationships with churches, community organizations, healthcare providers, and referral partners.
    Participate in outreach activities, fundraising events, educational opportunities, and community initiatives as requested.
    Represent Alliance Family Services in a professional and mission-centered manner at events and activities as assigned.
