Job description

Schlaupitz Madhavan, P.C. (SMCPA) is a growing CPA and advisory firm recognized for its collaborative culture, high standards, and commitment to excellence. We’re seeking an experienced Client Service Administrator (CSA) to provide administrative, client service, workflow, and operational support to our professional staff and clients at our Ann Arbor office.


The Client Service Administrator will play an important role in keeping client engagements and day-to-day office operations organized, accurate, and moving forward. This position supports client communications, scheduling, billing, document processing, tax engagement workflow, e-filing, and general office administration while delivering professional and responsive service to both clients and internal teams.


What You’ll Do

  • Provide administrative and client service support to professional staff, including client communications, scheduling, project coordination, time entry, billing, and special projects.
  • Maintain accurate client information and files in CCH Axcess, including contact information, responsible parties, client groups, billing groups, and other required data.
  • Set up and maintain CCH Axcess Workstream projects, ensuring assignments, budgets, due dates, and workflow information are complete and accurate.
  • Manage client document intake and processing, including scanning, filing, assembling, mailing, and delivering tax returns, financial statements, and other client work.
  • Support tax engagement workflow, including file roll-forwards, organizers, engagement letters, extensions, e-file authorizations, e-filing, acceptance monitoring, and resolving rejected returns.
  • Assist with billing and accounting functions, including preparing invoices, relieving unbilled work-in-process, and processing deposits and ACH payments.
  • Provide reception and general office support, including answering and routing calls, greeting visitors, managing mail and deliveries, maintaining directories, and coordinating conference rooms.
  • Help maintain an organized and professional office by coordinating supplies, shredding services, facilities requests, meetings, events, lunches, and other office logistics.
  • Assist with other administrative, client service, and operational needs as directed.


What You Bring

  • Prior experience in an administrative, client service, accounting, professional services, or similar office environment.
  • Comfortable working extended hours during peak tax periods.
  • Strong attention to detail and the ability to maintain accurate records and information.
  • Excellent organization and time-management skills, with the ability to manage multiple priorities and meet deadlines.
  • Professional, responsive approach to client service and strong written and verbal communication skills.
  • Ability to work independently while collaborating effectively with a team.
  • Strong problem-solving, follow-up, and prioritization skills, particularly in a high-volume environment.
  • Ability to maintain confidentiality and handle sensitive client and firm information with professionalism.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Ability to learn and effectively use firm-specific software, systems, and procedures.
  • Preferred Skills: 
    • Experience in a public accounting or professional services environment.
    • Experience with CCH Axcess, CCH Axcess Workstream, QuickBooks, or similar accounting and workflow systems.
    • Experience with tax return processing, e-filing, billing, accounts receivable, or client engagement administration.
    • Familiarity with Zoom and Microsoft Teams.


Physical Requirements

This role operates in a professional office environment and routinely uses standard office equipment. The position may require sitting or standing for extended periods, working at a computer, communicating in person and by phone, and occasionally lifting or moving standard office materials.
