Position SummaryGuggenheim Investments is seeking a highly organized and proactive Executive Assistant to join our Client Service team. In this full-time role, you will provide high-level administrative support to the Head of Client Services, serving as a trusted partner in managing the day-to-day operations of a fast-paced, client-focused environment.
This role is based in New York City, full-time.Responsibilities
  • Manage the Head of Client Service's calendar, schedule meetings, and coordinate travel arrangements.
  • Create and maintain robust tracking sheets for all meetings and calls, ensuring accurate documentation of attendees, topics, action items, and follow-ups.
  • Answer and direct incoming phone calls promptly and professionally, taking detailed messages and ensuring timely follow-up.
  • Process expense reports, invoices, and purchase orders in accordance with company policies.
  • Organize and maintain confidential files, records, and client documentation.
  • Assist in the preparation and follow-up of client meetings, including agenda creation, minute-taking, and action item tracking.
  • Coordinate departmental events, training sessions, and team activities.
  • Support project management tasks and track progress on key initiatives.
  • Prepare, proofread, and distribute correspondence, reports, presentations, and meeting materials.
  • Perform other administrative duties as assigned to support the Head of Client Service and the broader client service team.
Qualifications

Required Qualifications

  • 2+ years of administrative or client-facing support experience, preferably in financial services.
  • Meticulous attention to detail and strong organizational skills.
  • Self-starter with the ability to anticipate needs and take initiative.
  • Client-service-oriented personality with a professional and welcoming demeanor.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Strong written and verbal communication skills.
  • Proficiency in Salesforce (or other CRM), Excel, Word, PowerPoint, and Outlook.

Salary Range

Annual base salary between

-$75,000.00
