Job description

Position Title: Sales Operations Coordinator
Department: DBE Systems Operations
Reports To: Business Operations Manager
Overview
The Sales Operations Coordinator is a highly organized, detail-oriented professional responsible for supporting the sales organization through opportunity administration, proposal coordination, CRM management, sales reporting, and sales workflow coordination. Working closely with Account Executives, Solutions Architects, the Business Operations Manager, Engineering, Finance, and Operations, this role helps ensure opportunities progress efficiently from pursuit through operational handoff while maintaining data integrity and consistent sales processes.
Key Responsibilities:
Sales Operations & Opportunity Support
  • Maintain opportunity, client, and project information within CRM.
  • Support Account Executives and Solutions Architects with proposal coordination, quote preparation, and documentation management.
  • Coordinate proposal packages, revisions, pricing documentation, and client deliverables.
  • Maintain proposal templates, sales documentation, and standardized forms.
  • Coordinate internal review and approval workflows prior to proposal submission.
  • Assist with project handoff documentation from Sales to Operations after contract award.
CRM Administration & Sales Reporting
  • Maintain accurate CRM records including opportunities, contacts, activities, and forecasts.
  • Generate weekly, monthly, and quarterly sales reports and dashboards.
  • Support pipeline reviews, forecasting, and data validation.
  • Assist leadership with reporting metrics and sales analytics.
Client Documentation & Administrative Support
  • Prepare proposal packages, contract documents, deposit requests, credit applications, and other sales documentation.
  • Manage document revisions, version control, and electronic sales files.
  • Support client-facing administrative requests throughout the sales process.
Sales Process Coordination
  • Coordinate communication between Sales, Engineering, Finance, and Operations during the sales cycle.
  • Track proposal due dates and internal deliverables.
  • Coordinate sales meetings and follow-up action items.
  • Support continuous improvement of sales processes and documentation standards.
Vendor & Partner Program Administration
  • Coordinate manufacturer registrations and opportunity tracking.
  • Track and submit manufacturer SPIFFs, rebates, and incentive programs.
  • Generate reporting related to strategic manufacturer programs.
Data Management & Continuous Improvement
  • Maintain accurate records within CRM and company systems.
  • Identify opportunities to improve workflows and sales processes.
  • Provide backup administrative support to the Business Operations team as needed.
Compliance and Ethics
  • Adhere to company policies, industry regulations, and ethical standards.
  • Promote a culture of integrity and responsibility.
Qualifications
  • High School diploma or GED required; Associate's or Bachelor's degree preferred.
  • 3-5 years of experience in sales coordination, sales operations, business operations, CRM administration, or similar administrative role.
  • Experience in audiovisual integration, construction, technology integration, contract furniture, or related industries preferred.
  • Experience with ConnectWise CRM preferred.
  • Strong Microsoft Office proficiency, especially Teams and Excel.
  • Excellent organizational, communication, and multitasking skills.
