At Soteris, the team views client relationships through a family-office lens, serving a select group of approximately 120 families with exceptional care, clarity, and attention to detail. Position Overview

Soteris Private Wealth is seeking an experienced Client Service Associate to provide high-quality client service and operational support for a growing independent wealth management advisory team. This role will work closely alongside the team's Senior Client Associate and serve as an important partner in managing day-to-day client needs, account activity, service requests, and operational workflows.

This position is well suited for someone with prior wealth management, brokerage, or financial services client service experience who understands the language of the industry and is ready to take ownership within a boutique, high-touch advisory practice. While specific system experience can be taught, the ideal candidate will bring familiarity with common client service workflows such as new account opening, account maintenance, money movement, ACHs, ACATs, wires, and client documentation.

Your Role & Responsibilities

You will support client service, advisor support, and operational workflows, including but not limited to:

  • Client Service & Relationship Support
    • Serve as a reliable point of contact for client questions, service requests, and account-related needs
    • Communicate with professionalism, discretion, warmth, and a strong client-first mindset
    • Help deliver a highly personalized, family-office-style client experience
    • Keep clients informed on the status of open items, paperwork, transfers, and next steps
    • Partner with advisors and internal team members to ensure client requests are handled accurately and efficiently
    • Build trust with clients by recognizing preferences, relationship details, and recurring service needs
  • Account Maintenance & Operations
    • Support new account openings, account updates, transfers, contributions, distributions, beneficiary changes, and money movement requests
    • Prepare, review, and process custodial forms, client paperwork, letters of instruction, and supporting documentation
    • Monitor account funding, transfers, ACATs, ACHs, wires, and pending custodian items through completion
    • Help resolve routine processing issues and escalate complex items appropriately
    • Maintain accurate CRM notes, client files, digital records, and documentation across firm systems
    • Assist with ongoing client transition work as the team continues operating in an independent environment
    • Identify workflow gaps, recurring issues, or opportunities to create more consistent processes
  • Advisor & Practice Support
    • Manage advisor priorities, deadlines, follow-up items, and recurring service needs
    • Prepare client meeting materials, reports, agendas, forms, and post-meeting action items with minimal oversight
    • Coordinate across advisors, clients, custodians, investment teams, planning teams, and operations staff
    • Create advisor capacity by independently handling routine operational items
    • Provide coverage and continuity so the team can maintain strong client service during vacations, busy periods, or transition-related volume
What We're Looking For

Required Qualifications

· 3-5+ years of experience in client service, wealth management operations, financial services, banking, investment management, or a related professional services environment

· Demonstrated ability to support advisors, clients, and internal teams with a high level of accuracy and professionalism

· Strong written and verbal communication skills, including comfort serving as a regular client contact

· Experience managing multiple priorities, service requests, deadlines, and follow-up items with limited oversight

· High attention to detail when reviewing forms, client records, account documentation, and system updates

· Professional judgment, discretion, and ability to handle confidential client and financial information

· Working knowledge of account opening, account maintenance, client onboarding, transfers, distributions, and documentation workflows

· Ability to identify routine service issues, coordinate next steps, and escalate more complex matters appropriately

· Proficiency with Microsoft Office, including Outlook, Word, Excel, Teams, and digital document management tools

Preferred Qualifications

· Bachelor's degree or equivalent professional experience in business, finance, economics, communications, operations, or a related field

· Prior experience in an RIA, broker-dealer, private wealth, or financial planning environment

· Familiarity with custodial and CRM platforms

· Exposure to financial planning, portfolio reporting, or performance systems

· SIE completed, securities licenses held, or interest in obtaining Series 7, Series 66, Series 65, or applicable insurance licensing as responsibilities expand

· Experience improving workflows, documenting processes, supporting client transitions, or helping train junior team members
