Client Relationship Associate
Reports to: Sr. Director of Staffing and Operations
Status: Exempt

As a Client Relationship Associate at Apollon Wealth Management, you will serve as a trusted partner to both our advisors and clients, helping deliver an exceptional client experience from the first interaction through ongoing account servicing. This role is ideal for someone who thrives in a fast-paced environment, enjoys building relationships, and takes pride in keeping operations organized, accurate, and efficient.
You will play a key role in supporting advisors with client service, account administration, meeting coordination, and day-to-day office operations while ensuring all client requests are handled with professionalism, urgency, and attention to detail.
 Responsibilities
  • Serve as a primary point of contact for clients, providing exceptional service through phone, email, and in-person interactions.
  • Support advisors throughout the client relationship by preparing paperwork, gathering documentation, completing service requests, and ensuring timely follow-up on client needs.
  • Prepare, process, and track client account paperwork, including new account openings, transfers, beneficiary updates, money movement requests, maintenance requests, and other account servicing activities.
  • Coordinate client onboarding and ensure all required documentation is complete, accurate, and submitted in accordance with firm and custodian requirements.
  • Schedule client meetings, maintain advisor calendars, coordinate meeting logistics, and prepare materials needed for appointments.
  • Execute post-meeting follow-up by completing assigned action items, documenting meeting notes when appropriate, and ensuring outstanding tasks are completed.
  • Utilize Salesforce and other firm technology to accurately document client interactions, track tasks, maintain records, and ensure timely completion of requests.
  • Maintain a thorough understanding of Apollon's policies, procedures, and service standards while ensuring all work is completed in accordance with regulatory and compliance requirements.
  • Assist advisors with administrative responsibilities, allowing them to focus on delivering comprehensive financial advice and strengthening client relationships.
  • Answer incoming phone calls, direct inquiries appropriately, and provide prompt, professional responses to client and internal requests.
  • Maintain organized electronic and physical client files while protecting confidential client information.
  • Proactively identify opportunities to improve workflows, enhance efficiencies, and elevate the client experience.
  • Collaborate with advisors, relationship managers, and operational teams to provide a seamless, high-touch experience for every client.

Skills & Qualifications
  • 3+ years of experience in wealth management, financial services, banking, or a related client service role (preferred).
  • Experience supporting financial advisors or relationship managers in an administrative or client service capacity.
  • Working knowledge of investment account types, account maintenance, and financial industry documentation (preferred).
  • Experience with Salesforce or other CRM platforms (preferred).
  • Familiarity with Fidelity and other custodial platforms (preferred).
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams (required).
  • Outstanding customer service skills with a genuine passion for creating exceptional client experiences.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to prioritize multiple tasks while maintaining accuracy and attention to detail.
  • Ability to work independently while also collaborating effectively within a team environment.
  • Demonstrated problem-solving skills and a proactive approach to identifying solutions.
